Surgical Journey Navigator (Part-Time/Casual)



We’re a rapidly growing start up sports medicine clinic that helps patients to return to peak performance and rise to new levels. We’re looking for friendly, patient centric individuals to join our team in the new role of Surgical Journey Navigator (SJN).

RESPONSIBILITIES

By ensuring effective patient information management, the Surgical Journey Navigator (SJN) plays a key role in delivering on our business definition to offer timely assessment, diagnosis, treatment planning, and rehabilitation of sports injuries and bone and joint problems. Embodying the virtues of Humble, Hungry, and Smart, the SJN ensures a seamless patient journey through the health care system by ensuring the right health care providers have access to the right documents at the right time to deliver positive health care experiences.

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Certificate or diploma in medical office assistant or related discipline, medical terminology, health information, or equivalent experience in the field.
  • At least one (1) year of medical office experience with knowledge of surgical procedures, preferably in a high-volume setting
  • Demonstrated experience effectively using telephone and e-communications systems as primary modes of communication.
  • Experience using electronic medical records, client management systems (CMS), and/or Alberta Netcare is an asset.

POSITION DUTIES AND RESPONSIBILITIES:

  • Manages surgeon’s various commitments and negotiates scheduling changes as appropriate
    • Creates and maintains resident schedules assigned to the surgeon and acts as the liaison between the educational institution, resident, and surgeon
    • Ensures effective lines of communication between Group23 and the surgeon
    • Coordinates surgeon’s patient schedule within Group23
    • Coordinates surgeon’s schedule with affiliated clinics and health services and manages communications on behalf of the surgeon
  • Transcribe surgeon’s orders with accuracy
  • Prepares and provides pre- and post- operative patient communications and supports patients in obtaining appropriate post-surgical devices
  • Answer tele and e-communications received by clients and resolve queries daily, re-directing inquiries to fellow team members as appropriate
  • Rescheduling of patients based on changes in practitioner(s) availability
  • Facilitate continuity of care throughout the patient health journey by booking additional services and appointments within the clinic and facilitating referrals to external health care providers, ensuring that appropriate provider, date, time, and location are provided to patient
  • Manage patient health information, including appropriate filing, retrieval, and sharing of such information with appropriate parties
  • Monitoring and downloading incoming faxes and scans in the CHR regularly throughout day and linking all documents appropriately
  • Answer patient questions after patient surgery and ensure follow up appointments are booked
  • Call patient before surgery for instructions and after surgery to follow up on how they are doing or probing to see if they have any questions.
  • Manage relationships and coordinate care within Alberta Health Services (AHS) and private surgical facilities to ensure appropriate surgeon accommodation regarding ACATS and waitlists, operating room time, surgical assistants, and other onsite supports as appropriate
  • Maintain adequate supply of forms and supplies within the SJN workspace while maintaining clinic tidiness, appearance, and organization
  • Contribute to corporate sustainability by documenting and updating role processes and guiding documents
  • Provide role-related administrative support to management, practitioners and other staff
  • Expedite clinic flow by billing and accepting appropriate payments within the SJN workspace
