Administrative Assistant, Impact Action Lab (IAL) (12-month term)

Alberta Innovates is seeking an Administrative Support to work with Alberta Innovates Impact Action Lab (IAL) and liaise with partners and clients of the IAL. Under general guidance and minimal supervision, this position provides administrative support to a Director, Executive Director, and team or department. This position may assist and/or lead more complex special projects and assignments requiring a high degree of independence, initiative, flexibility and sound judgement.

This is a 12-month term employment position. The successful incumbent will work closely with the Executive Director, IAL, and will be accountable for (but not limited to) the following:
Provide administrative support to a Director, Executive Director, team or on special projects including travel arrangements.
Screen and prioritize incoming calls, emails, and inquiries. Respond to inquiries and may provide basic interpretation of policies and procedures. Research information to resolve problems or issues.
Coordinate the flow of information internally and with Business Partners, other departments and organizations.
Operate and maintain area office equipment and supplies
Organize and coordinate events and conferences which may include creating timelines; collecting agenda items, briefing notes and background materials; creating registrant profiles; coordinating complex itineraries involving domestic or international travel, etc.
Prepare, edit and proofread invoices, presentations, publications, reports and related materials.
Ensure all documents and records are maintained.

Qualifications;
Diploma or Certificate in Business Administration or related field
5 - 7 years related office administration experience

Ability to communicate effectively

Attention to detail

Ability to work under pressure and within tight timelines

Ability to handle sensitive information/documents in a confidential manner

Ability to take initiative and execute assigned tasks in a timely manner

Planning and priority management skills

Strong verbal, written, listening and interpersonal skills

Ability to work in a team environment as well as independently

Intermediate to advanced level computer and technical skills (i.e. Microsoft Office Suite) and comfort with learning to use and using software used by the team, including CRM software, SharePoint, MS Teams, and Asana or other project management software.

Executive Assistant experience is an asset
