Full Description

Under the direction of the Manager of Facilities & Equipment, the Vendor Service Coordinator manages the daily required repair and servicing work being sub-let to external repair vendors that cannot be completed internally within the WFMA repair garages due to limited time constraints or staffing resources. This position has the responsibility for prioritizing, scheduling, coordinating and monitoring the daily external vendor work progress, which includes utilizing the fleet management software systems in order to maintain the City Fleet for maximum equipment life and minimal downtime. Keeping the Customer notified of the status of the repair including but not limited to the location, cost and timeline for the repair. The Vendor Service Coordinator is the resource for outsourcing vehicle and equipment repairs that the shop cannot perform in-house as it relates to mechanical repairs, maintenance including accident/incidents, warranty, recalls and off-road tire requirements to these units.

As the Vendor Service Coordinator you will:

  • Coordinate, schedule and monitor the rotation of sublet repairs and maintenance services to private (external) vendors.
  • Liaise between MPI & COW Risk Management (accidents).
  • Be responsible for repair authorization administration.
  • Be responsible for Quality Control of Vendors.
  • Warranty Administration and Manufacturer Recalls.

Your education and qualifications include:

  • Red Seal Certification in Heavy Duty, Truck/Transport, Automotive industry, Machining, Welding, and/or an equivalent combination of education and experience.
  • Broad technical knowledge and experience in the field of Heavy Duty/Truck Transport/Automotive industry.
  • 3 years’ experience with, procuring, and outsourcing of maintenance and repairs for various vehicles and equipment.
  • 3 years’ experience working in a mechanical repair shop environment.
  • Strong computer skills with the ability to utilize maintenance management systems and Microsoft Office applications.
  • Ability to conduct work process analysis and formulate and implement process change.
  • Ability to collect and compile data to prepare and write accurate detailed reports and documentation.
  • Ability to communicate effectively, both orally and in writing, with people at all levels of the organization.
  • Strong analytical skills and the ability to organize and schedule activities.
  • Knowledge of fleet maintenance operations.
  • Thorough knowledge of repair procedures in accordance with industry standards.
  • Ability to work in a fast-paced environment and prioritize, schedule and coordinate repairs for a large diverse fleet.
  • Ability to keep current with changes in both mechanical and equipment technology.
  • Knowledge of occupational hazards and safety precautions and regulations.
  • Ability to establish and maintain effective working relationships with internal and external contacts.

Conditions of employment:

  • The successful applicant must maintain legal eligibility to work in Canada. If the successful applicant possesses a work permit, it is their responsibility to ensure the permit remains valid.
  • Possess and maintain a valid Manitoba driver’s license – class 5.
  • The successful applicant will be required to provide a vehicle for transportation while on City business, subject to the terms and conditions of the City Transportation Policy.
  • A Police Record Check satisfactory to the employer will be required from the applicant(s) or successful candidate(s), at their expense.
  • Physically able to perform the duties of the job, which may include, but are not limited to: working outdoors in potentially extreme weather conditions
