Position Overview

The City Clerk’s Department requires a temporary full-time Committee Clerk–Secretary until approximately April 2024.

Responsibilities
You will provide a variety of support services to several internal and external committees, boards, commissions and public forums, including, the Board of Variance and City Council. You will be responsible for coordinating special events and meeting arrangements; preparing agendas and supporting materials; compiling a variety of meeting material; providing assistance to internal and external stakeholders; taking, transcribing and distributing minutes for various committees and meetings; and drafting correspondence and reports. You will send notices to property owners and advise relevant parties of Council, Committee and Board of Variance decisions, ensuring that correspondence and documents are processed in accordance with applicable procedures and time limits. In addition, you will provide assistance on procedural rules during such meetings and follow-up on actions and decisions of committees, boards and Council, as appropriate.

Requirements
You will possess significant work-related experience, excellent interpersonal and communication skills, and be able to work with considerable independence and minimal supervision. A high degree of accuracy is required and expected, and you must be comfortable working within strict timelines for publishing agendas. You will also have the ability to deal effectively with the public, staff and community volunteers. The ability to take formal minutes and to keyboard at a net speed of 60 wpm is required, along with a thorough knowledge of business English, spelling and punctuation, proficiency in Microsoft Office, and considerable related experience in local government procedures. Knowledge of an electronic agenda process, experience with scanning, filing and searching documents within an Electronic Document Records Management System would be assets.

Compensation
$28.56 to $33.56 per hour
(Pay Grade 17 – January 2021 rates)

Hours of Work
The City of North Vancouver currently works on a compressed work schedule of 8:30 am to 5:00 pm, Monday to Friday, with one scheduled day off (Monday or Friday) approximately each three-week scheduling cycle.
