JOB DESCRIPTION

POSITION TITLE: Coordinator, Sport Competition Services

REPORTING TO: Manager, Sport Operations

INTERACTIONS: Coordinator, Overlay; Coordinator, Venue Operations; Director of
Sport; Director of Games Operations; Manager, Volunteer Services;

OVERVIEW

The 2023 World Police & Fire Games Host Organizing Committee is looking to fill the term position of a Coordinator, Sport Competition Services.

In less than one year, thousands of the world’s best and brightest Police, Firefighters and Law Enforcement professionals will set their sights on Winnipeg as we host the 2023 World Police & Fire Games. More than 8,500 athletes from across the globe, 150 media, hundreds of VIPs, 500 officials and thousands of visitors will join us for the 10-day event. Featuring 61 sports and numerous cultural events and festivals, the 2023 World Police and Fire Games will be the largest event in Manitoba’s history.

GENERAL DESCRIPTION : The Coordinator, Competition Services is responsible for supporting both the Sport and Games Operations divisions by ensuring sport venues meet or exceed requirements. They will also help in the development of a sport organizational structure that identifies roles and responsibilities ensuring effective and efficient execution of the Games.

RESPONSIBILITIES:
GENERAL

  • To represent the 2023 World Police & Fire Games in a positive, respectful and enthusiastic manner.
  • To work within a functional team to accomplish the approved targets and goals within the expected timelines.
  • To offer ideas that will improve the ecient and effective delivery of the games and will focus on optimizing the athlete experience.
  • Recommend resources needed to accomplish tasks and reach the targets/goals.
  • Uphold a high moral character and prudent fiscal management, understanding the majority of funding to host this event is provided by the Public Sector including the Provincial, Federal, and municipal governments.

MAIN FUNCTIONAL RESPONSIBILITIES

  • Coordinate the planning and operations of 13 sporting events at 10 different venues, including: Angling, Archery (Target, Field & 3D), Biathalon, Pistol-Police Action Pistol (PAP), Pisotl-Police Combat (PPC), Rifle (Large Bore, Small Bore & Air), Trap, Skeet & Sporting Clays.
  • Act as the main point of contact for Leadership Volunteers including, Sport Coordinators and the Sport Technical Leads of assigned sports, ensuring consistency during the planning and delivery of the Games.
  • Assist with games operations planning, providing input of sport operational needs within venues.
  • Support the development of venue and project plans including but not limited to: venue operations, venue overlay, venue fit-out, look, signage and wayfinding.
  • Identify and source sport equipment requirements.
  • Coordinate delivery of sporting equipment to and from venues with the logistics coordinator & warehousing team, including on venue storage.
  • Assist and support the administrative functions of the Games Operations and Sport divisions.
  • Work with and coordinate volunteers in both Sport and Games Operations functional areas.
  • Develop communication and reporting structures within your games time team.
  • Submit daily reports on venue and sport operations to the Main Operations Center (MOC).
  • Troubleshoot issues as they arise during games time.
  • Contribute information for final reports for the respective functions following the Games.
  • Ensure follow-up activities related to the functions take place.
  • Undertake other duties as assigned by the Manager or Director, relevant to the furtherance of the goals and objectives of the Games and the position.

QUALIFICATIONS:

  • Post Secondary education (some university or college studies, a degree or diploma) in a relevant field. A combination of education and experience will be considered.
  • Minimum of one to three years experience working in volunteer management, multi-sport Games and/or event management environment.
  • * Experience in venue operations as it relates to pre-event planning, set-up, event logistics and tear down for large multifaceted events .
  • Outstanding planning, organizing and coordination skills.
  • Friendly, approachable manner and willingness to contribute and ask questions.
  • Excellent verbal, written, electronic and related communication skills and capacities.
  • Strong computer skills with the Google Workspace environment including Docs, Sheets, Slides, Gmail etc.
  • Ability to thrive in a complex environment, involving a multitude of simultaneous and concurrent tasks, operations and requests.
  • Ability to work in a team and perform specific tasks independently.
  • Understanding of and capability to work within a mixed volunteer and staff planning and delivery model.
  • Willingness to work variable hours, including evenings and weekends.
  • Previous Games or related experience would be an asset.

CONDITIONS OF EMPLOYMENT

  • Formal office hours are 8 a.m. until 4:30 p.m.; however, flexibility will be required (and given appropriately). This may include various evening/weekend commitments, varying workload/deadlines, Games time requirements, etc.
  • Supportive of the Games initiative and contribute to its success through high quality work and effort.
  • Agree to follow all Employee Policies and Procedures implemented by the Host Society.
  • Willing and able to meet public health requirements in order to attend public events, and enter into public venues.
