Administrator, Events and Bookings

Permanent, Full-Time – 35 hours per week

$61,425.00 - $76,840.40 / annum

We are currently recruiting a permanent, full-time Administrator, Events and Bookings for our Events and Bookings Department.

About this Opportunity:

The Administrator, Events and Bookings reports directly to the Coordinator, Events & Bookings. This position will be responsible for responding to customer inquiries on use of City facilities, coordinating seasonal use of indoor and outdoor sport amenities, recommending and matching community members and organizations with appropriate facilities for activities or events.

This position will foster relationships and collaborate with organizations, internal service areas and external partners on their use and event plans. They will provide support to organizations and individuals using city amenities or hosting events, working closely to facilitate a safe and positive experience.

Responsibilities include, but are not limited to:

Provide strategic planning and allocation of seasonal use for community groups and sport organizations utilizing City recreation facilities
Optimize utilization of spaces through efficient scheduling
Create and manage contractual agreements of use, applicable fees and invoice management
Work collaboratively and liaise with internal departments & external partners, community groups and organizations on the use of City owned facilities to support service delivery and operations
Update and maintain recreation software for fees, maintenance, scheduling, functions, and amenities as required
Ensure necessary plans, permits, licenses and event infrastructure are in place for safe, successful events
Monitor usage, membership and trends of seasonal groups and organizations utilizing facilities

Qualifications

You are an ideal candidate if you have the following:

Certificate or diploma in recreation or business administration or related field
First Aid/ CPR certification is required
Minimum 3 years of experience
Knowledge of Intellileisure Recreation Software is an asset
Municipal experience an asset
Ability to work both independently and in a collaborative team setting with a proven ability to meet deadlines
Excellent verbal and written communication skills
Strong relationship-building skills with internal and external stakeholders and proven commitment to customer service
Excellent organization and time management skills with the ability to manage multiple projects at once
Must be willing to provide a current Criminal Records Check at own expense
