The Opportunity
The City of Grande Prairie's Corporate Facility Management (CFM) Department is looking for a skilled Financial Coordinator. The Corporate Facility Management (CFM) Department is responsible for the asset, project and maintenance management of over 50 City owned facilities. If you have an eye for detail and like working in a financial & data driven environment then this is the job for you. Reporting to the Corporate Facility Manager, the primary focus of this position is management of the departmental operational and capital budgets, and is also the main point of contact between the City Finance Department and the CFM Department.

Responsibilities*
You will be responsible to perform a wide range of duties in a dynamic work environment. The duties include, but are not limited to: operational budget management for over 58 projects, preparation of monthly variance projection reporting, capital project accounting, journal entries and responsibility of revenues, purchase card management, expenditures and salaries for 43 staff and providing backup support to the departments administrative team. This position is also responsible for the administrative management and data integrity of our CMMS (Computerized Maintenance Management System) Maintenance Connection, and is the main point of contact between the system vendor and our internal IT department.

You Bring*
To enable the provision of strong administrative support you will be expected to develop, build, foster and maintain positive working relationships with: CFM staff, internal and external partners, service providers, vendors and other City staff.
You have a minimum of five (5) years administrative experience, a high school diploma plus at least two (2) years of post-secondary education in Office/Business Administration. The following skills will be essential for you to succeed in this position:

  • Ability to work well in a fast paced environment to meet set deadlines,
  • Exceptional organizational skills, ability to multi-task and detail oriented,
  • Knowledge of office procedures such as variance reporting, journal entries, invoicing, general accounting, etc.,
  • Ability to work independently and as part of the team, while exercising good/independent judgment, demonstrating initiative and pro-activity,
  • Demonstrated experience working effectively with external service providers and vendors,
  • Demonstrated proficiency in data entry & management,
  • Superior communication skills, both written and verbal,
  • Strong computer aptitude and high level of experience with Microsoft Office (Teams, Word, Excel, Outlook, etc...) and other payroll, accounting, financial software systems- ie: Navision, Kronos, BisTrainer, Oracle, etc.,
  • Strong commitment to customer service and continuous improvement,
  • Experience working with Computerized Maintenance Management Systems (CMMS)
  • Experience with asset management and health & safety management systems would be considered an asset, and
  • Strict adherence to safe work practices.

Hours
Monday to Friday 7:30 to 2:30 - 35 Hours per week.
