As the Scheduling Coordinator, you will be responsible for managing 24/7 schedules of security guards and soldiers to ensure that staffing levels on city sites are maintained. You will create and adjust scheduling rotations, coordinate schedule changes and manage time off requests and overtime in order to guarantee that payroll and invoice verification is up to date.

  • On a daily, weekly, and monthly basis, manage the schedules for the on-call security guards and soldiers to ensure necessary staffing levels are met.

  • Cover last minute shifts due to sickness, emergencies, and ad hoc changes in event coverage.

  • Oversee availability and create monthly schedules for on-call security guards.

  • Manage time off requests by ensuring proper coverage and approval are obtained.

  • Working collaboratively with the secretary and the lead officer to resolve scheduling issues.

  • Communicate with security guards and soldiers regarding schedule changes and needs.

  • and track and report on overtime time, call hours, distribution of hours and compliance with collective agreement provisions.

  • Within the scheduling software, maintain data integrity to ensure accuracy for payroll and invoicing.

  • Ensure scheduling software is up-to-date with personnel information for security operations.

  • As a resource for the use of scheduling software.

Qualifications ****

  • A 1 year certificate in business administration or a related field and at least 3 years of experience is required.

  • The intermediate level of proficiency is required in Microsoft Office (Word, Excel and Outlook).

  • Working knowledge of computerized scheduling software systems (for example, TrackTik) will be an asset.

  • A level of familiarity and comfort working with contractual language and the interpretation of this language will also be an asset.

  • The ability to work in a dynamically changing environment, with a strong background in administrative processes and procedures.

  • The ability to deal effectively with conflicts and resolve issues, work accurately and prioritize. )
