Executive Assistant

The Executive Assistant, based in Vancouver, will report to the Senior Vice president, Development and work closely with all members of the BC development team, supporting them to advance the program.

an Executive Assistant, Deve lopment **You Will:

  • Provide direct administrative support to senior vice president, development.

  • Maintain SVP's schedule, resolve conflicts as needed. Liaise with internal and external partners for organizing meetings/conference calls; reserve meeting rooms when required and organise catering services.

  • Manage and mentor the development of the administrative assistant.

  • Frequently prepare correspondence, memos, and other materials of a confidential, critical or specialized nature.

  • Liaise with internal and external partners for approval of contracts, invoices and apply SVP signature.

  • Maintain the SharePoint site for the west, add new members and provide training where needed. Assist the team with filing their correspondence in SharePoint.

  • For industry related events (i.e., Urban Development Institute (UDI), Urban Land Institute, and National Association of Industrial Properties), list all UDI members; delete new members.

  • Processes for workday expenses, such as credit card expenses, and reimbursement for projects. '

  • Assist in the preparation of PowerPoint presentations. Research information for executive and gather information from appropriate sources.

  • Coordinate travel arrangements, including flight, hotel and other special requirements. In the event of a fire, enter the travel plans into the fire's schedule.

  • Event planning, organization, team building, and other events that may arise. This may also include invitations, seating arrangements, menu planning, etc.
