About the Position
We are looking for an administrative assistant / bookkeeper. This position is the communication hub of the company. The successful candidate will keep the Pathfinder team (and the paperwork) organized. To be successful in this role, you will need to have strong organization skills, be proactive and personable. You also need to have strong attention to detail. We love our client, and that needs to shine through when you communicate with them.
Specific Duties Include:
- Prepare paperwork: scan and upload documents, convert bank statements and follow up with clients on missing paperwork.
- Process payroll: gather employee information, calculate wage earnings, sending out paystubs. Follow the office procedures and guidelines you will be trained on.
- Communicate with clients: act as the first and last point of contact with our clients. Answer the phone, respond to email, respond to texts, book and confirm appointments, take payments and greet clients as they arrive/leave the office.
- Basic bookkeeping data entry (i.e.: enter expenses, enter sales, etc)
- Assist the owner with marketing and communications projects, as required.
- Keep the office tidy, clean and organized. Order supplies as necessary.
This position requires to to be comfortable with new and emerging technology. You will be trained on the various pieces of software we use, and it is expected that you become proficient with them quite quickly. Key software used in the office includes: Xero, Hubdoc, Sage, Click Up, Excel, Gmail and Canva.
As you become more experience, you will be offered opportunities for training and internal advancement.
Education & Experience:
- The successful candidate will have completed (at minimum) a business certificate program through a community collect or private career college.
- Aptitude for basic bookkeeping tasks, payroll processing and data entry.
- Able to prioritize workload while working with competing priorities, tight deadlines and multiple distractions.

About the Position
This is a permanent, full-time position. The hours are Monday - Friday, 8am - 4pm (35 hours / week).
You are responsible for coordinating with all clients on a weekly, bi-weekly or monthly basis on their paperwork, payroll and general support inquiries. As clients drop-off information, you will digitize their paperwork so that it can be utilized by the bookkeeping team. You are also responsible for our client's payroll: attention to detail and accuracy are of utmost importance.

Salary: $16.00-$18.00 per hour
