In this role reporting to the City Clerk, this is a unionized position which is responsible for various administrative support duties related to the operation of the City Clerk Department. This position assists with some of the duties and responsibilities of the Assistant City Clerk during absences or as otherwise required.

Our ideal candidate

  • Manages and maintains all permanent records related to City Council Meetings, Standing Committee Meetings and other various committees of City Council.
  • Works with the City Manager's office to prepare and distribute the weekly Administrative Committee Agenda.
  • Schedules and coordinates hearings, prepares legislated notifications and minutes in relation to Subdivision and Development Appeal Board.
  • Responsible for management of the administrative functions associated with City bylaws (general bylaws, consolidated bylaws, land use bylaw) such as indexing, notifications and advertising.
  • Assists City Clerk in census undertakings and elections.
  • Maintains the department's general files (current and archived).
  • Maintains up-to-date indexing of legal documents held in the vault including minutes, bylaws and agreements utilizing various software programs.
  • Conducts research, information analysis and prepares draft reports for review by the City Clerk in response to a wide range of telephone and in-person inquiries and research requests (e.g. minutes, agreements, bylaws, general information).

Qualifications

Successful completion of a certificate program from a recognized post-secondary institution including:

  • training in the administrative field.
  • Three (3) years' administrative experience, ideally in a municipal setting.
  • Project Management skills are considered an asset.
  • An equivalent combination of management approved training and experience may be considered.
