Job Description

The Status of Women Council of the NWT is seeking a highly motivated and skilled individual to join our team as an Executive Assistant. Reporting to the Executive Director, the Executive Assistant is responsible for providing executive level Administrative, reception and clerical support to the Status of Women Council and staff. The Executive Assistant is also responsible for planning and organizing events throughout the Northwest Territories.

As a team member, the Executive Assistant will work to further the goals of the Status of Women Council of the NWT.

Responsibilities
1. Provide administrative Support

a. Acting as Administrative assistant to the Executive Director

b. Provide administrative support to Council meetings including drafting agendas and minutes within strict timelines.

c. Arrange for travel for Council members to attend the SWC meetings and arrange other approved travel

d. Maintain databases to ensure up-to-date information about community partners and programs and services relevant to the status of women.

e. Provide information about relevant programs and services as requested.

f. Collaborate with other staff and organizations on projects relevant to the goals and work of the Council.

g. Prepare and book advertising and PSAs

h. Responds to routine mail, email and other correspondence ensuring accuracy and confidentiality

2. Provide reception and clerical duties

a. Prepare information packages or board packages to send to members on a regulars basis

b. Maintain the resource library and provide Council materials to women, partner organizations, community groups and the larger public as required.

c. Respond to telephone, email and walk-in enquiries from the public, and refer to appropriate sources

d. Maintain filing system both physical and electronic

e. Establish and maintain a mailing list

f. Sort, record, distribute and process mail

g. Supervise and assist with large volume mail outs

h. Ensure the maintenance and operation of office equipment such as the photocopy machine, computers, telephones…

i. Monitor office supplies and resource use, order or print when required

3. Event Planning and Coordination

a. Plan and coordinate Council's annual events and activities

b. Develop advertising and promotional material for special events

c. Collate information packages

d. Assist with logistics

e. Conduct public speaking engagements related to the event. This may include MCing or introducing speakers.

f. Prepare reporting of annual events as necessary

4. Team building

a. Work cooperatively as a staff team member and collaborate with co-workers on Council initiatives

b. Upon the direction of the Executive Director and work load permitting coordinate and assist with various Council initiatives

Education & Experience

Advanced administrative, organizational and communications skills – Ability to work under minimal supervision – Attention to detail – Logical thinking - Advanced knowledge and efficiency in Microsoft Office – Advanced organization and time management skills – Ability to work cooperatively and effectively with others - Event Coordination experience an asset.

The successful candidate will have completed a bachelor’s degree. Business certificate, college degree or certificate in Administration, Social Sciences, or related field preferred. Candidates with an acceptable combination of education and experience may also be considered.
