Job Summary
This position provides a comprehensive, confidential professional administrative assistance to the CHRO and the Human Resource Leadership Team. Reports to the Chief Human Resources Officer.
Duties & Responsibilities
- Provides confidential executive administrative assistance to the CHRO and the HR Leadership Team.
- Coordinates all administrative aspects of the CHRO’s office, including scheduling appointments, processing mail and other documentation, managing email and electronic communications, maintaining the corporate filing system, requisition payments for all office expenses, and arranging meetings and travel details.
- Researches, assembles, proofreads, and edits reports and correspondence pertaining to City Council, Committees of Council and external bodies. Provides guidance to report writers and Management Team, ensuring corporate standards and governance structure are met and adhered to.
- Receives, monitors, and coordinates appropriate action in response to Councillor and senior administrative leader inquiries.
- Provides supervision, assistance, and mentorship to division administrative staff to ensure consistent and efficient delivery of administrative services while ensuring corporate standards are met.
- Oversees and update departmental business planning including project management of the annual plan.
- Prepares, edits and circulates a variety of correspondence, including labour relations, and other highly sensitive matters on behalf of the CHRO and the Division’s management team.
- Prepares and distributes agendas and materials for all meetings. Records, prepares, and distributes minutes for Department and other specifically assigned committee meetings.
- Act as a resource to human resources staff and staff of other departments on all human resources matters and directs people to the appropriate resources.
- Facilitates the planning and execution of meetings and Division events on behalf of the CHRO and the HR Leadership Team which includes scheduling, booking of facilities, setting up and troubleshooting virtual meetings, and all related planning.
- Plans, organizes, coordinates, and monitors special projects, programs, or events.
- Performs other related duties as assigned.
Qualifications
- Grade 12 education or equivalent
- Post-secondary school education/training in office Administration, business diploma or related field. A combination of education and experience may be considered.
- Four to six years’ related experience at a senior administrative level, including two years’ supervisory experience.
- High technical proficiency in Microsoft Office (Outlook, Teams, Word, PowerPoint, Excel), with the demonstrated ability to learn and master new technology.
- Proficient in the utilization of Microsoft Project.
- Demonstrated initiative, resourcefulness, and strong organizational skills.
- Proven interpersonal skills which include building collaborative relationships, managing and de-escalating conflict, and using soft skills such as building rapport and easing stress effectively.
- Experience handling highly sensitive material and information in a confidential and professional manner.
- Ability to communicate effectively, orally, and in writing, including the facilitation and presentation of information.
- Excellent organizational skills with the ability to prioritize workload and work on concurrent assignments while meeting strict deadlines.
- High degree of attention to detail with the ability to research, analyse, interpret, compile, and coordinate information to create correspondence and reports with a high degree of accuracy and efficiency.
- Ability to establish and maintain effective working relationships with other civic employees and elected officials.
- Ability to deal courteously and tactfully with the public, elected officials, division staff, and other civic employees.
- Ability to work independently with minimal supervision
Weekly Hours: 40
Salary Range: $68,413.44 to $80,385.60 CAD
per annum (2022 rates)
