Operations Manager
Island Nature Trust is Prince Edward Island’s oldest private charitable land trust, protecting natural lands and waters for wildlife and people in perpetuity. We are a membership-based organization directed by a volunteer board and supported by a small contingent of dedicated staff. There is currently an opportunity to join our team as Operations Manager.
About the Position
Reporting to the Executive Director, the Operations Manager will manage, monitor, and report on business operations (finance, human resources, operations) of Island Nature Trust.
Primary Responsibilities & Duties
Financial Management (approx.. 50%):
- Maintain complete and accurate records of all revenues and expenses relating to the work of the Trust, including bookkeeping, payables, receivables, and monthly financial reports for the Board of Directors.
- Prepare cash flow forecasts and manage cash balance of the Trust.
- Organize the annual audit and prepare appropriate working papers and financial summaries.
- Comply with the requirements of CRA, including the preparation and submission of the Trust’s annual charitable return and bi-annual HST returns.
- Assist in the preparation of the annual operating budget in both a detailed and summarized format. Update the budget on a regular basis.
- Assist with and/or track operating budgets for specific projects throughout the year in a manner that aligns with funder reporting.
- Prepare financial reports for provincial, federal, foundation, and other funding projects as required.
- Assist the Fund Development Coordinator with preparation of applications (and reports) to Foundations, Federal Government, Provincial Government, and other organizations for project and operational funding and wage subsidies.
Secondary Responsibilities & Duties:
Human Resources Management (approx. 10%):
- Maintain employee records and complete biweekly payroll, oversee benefits package delivery, oversee tracking of vacation/sick leave/overtime, issuance of T4’s and ROE’s.
Manage Office Operations (approx. 20%):
- Supervise Office Coordinator
- Manage office operations including insurance, facility lease, vehicle lease.
- Ensure compliance with occupational health and safety and workers compensation board.
- Assist the Office Coordinator with duties as requested (e.g., reviewing thank-you letters).
- Administrative tasks, such as answering phones, when Office Coordinator is not available.
- Participating in weekly staff meetings, and other meetings as necessary.
- Other duties as requested by the Executive Director.
Support Board of Directors (approx. 10%):
- Support Executive Director with Board of Directors meetings (organization, agenda, file distribution, minutes), Annual General Meeting, and board relations.
- Sit on finance committee, organizing quarterly meetings (including agendas and minutes).
- Assist Treasurer in investment management.
Assist with Donor/Stakeholder Relations (approx. 10%):
- Oversee preparation of charitable tax receipts for cash donors, donors of land, or other gifts where directed by the Executive Director.
- Oversee tracking and acknowledgment of charitable donations or grants received.
Requirements
Education
- Required: Business degree, diploma, or equivalent
- Asset: Accounting designation or accounting certificate
Experience
- Required: 3-5 years experience in accounting/bookkeeping position
- Required: 2+ years of experience in managerial role
- Asset: Experience reporting to provincial and federal governments
Skills
- Required: Experience with Sage Accounting Software or comparable program
- Required: Experience with Microsoft Word, Excel
- Required: Strong communication and writing skills
- Required: Effective leadership, management, and ability to work well in a team
- Required: Strong time management
- Required: Adaptability
- Asset: Drivers License
Terms of Employment
- This is a full-time permanent position beginning early-mid August
- The position is based in Charlottetown, PE located at 112 Longworth Avenue, with the potential to work from home part-time (hybrid/flexible schedule).
- The pay rate for this position starts at $30/hour, 37.5 hours per week (standard hours 8AM – 4PM Monday to Friday with some work outside of standard hours required).
- Three weeks annual vacation
