This is moderately difficult clerical work, providing clerical support to various Council members, Civic Committees, and senior City staff. An incumbent will coordinate meeting arrangements with various groups; prepare meeting agendas and supporting material from draft; proof, edit, and distribute meeting minutes; prepare routine and non-routine correspondence and notices; and prepare and maintain a variety of related electronic and paper-based records. The incumbent will also provide a variety of information and assistance to internal and external contacts pertaining to actions and decisions of committees and boards and related matters. Furthermore, the incumbent will type a variety of materials such as agendas, minutes and correspondence, and perform related work as required.

Qualifications include completion of Grade 12, supplemented by courses in office management, plus some experience in related work preferably in a civic environment or an equivalent combination of education, training and experience. Sound knowledge of the functions and objectives of various boards, commissions and committees, and the rules of procedure used in meetings of such authorities, modern office practices and procedures and of the rules, and policies and regulations applicable to the work. Thorough knowledge of business English and grammar is required. The ability to prepare and check a variety of reports, deal tactfully and effectively with internal and external contacts, and operate related software such as Burnaby Maps/GIS and Adobe Pro to convert records to PDF packages, track information and apply redactions is a requirement. A valid Driver’s Licence for the Province of British Columbia is required.
