The main purpose of this job is to provide administrative support to the Director of Marketing and Marketing Division staff. In addition, the position coordinates contests; proofreads content in two official languages; administers the ‘Ask an Islander’ program; and books meetings and takes notes for the Board of Directors’ meetings.

Duties will include but are not limited to:

  • Schedule appointments and coordinate meetings including booking of meeting rooms;
  • Coordinate agenda, logistics and record minutes for the Tourism PEI Board of Directors;
  • Coordinate national/international travel and accommodations;
  • Respond to telephone, email and in-person enquires in English and French, and sorting & distributing mail;
  • Type reports, correspondence and spreadsheets in both official languages;
  • Proof documents and online content in English and French;
  • Coordinate information sent to Translation Services;
  • Organize contests and fulfill prizes for contest winners;
  • Maintain filing system according to RIM policy;
  • Order office supplies, business cards and promotional products;
  • Code invoices for payment, prepare requisitions and track expenditures;
  • Maintain and update information in Customer Relationship Management (CRM) system, internal databases and Tourism PEI website;
  • Administer the visitor inquiry program and track data to ensure appropriate payment; and
  • other related duties.


  • Successful completion of Grade 12
  • Successful competition of recognized Administrative Assistant program or Office Studies course
  • Demonstrated equivalencies will be considered
  • Experience in Microsoft Office, specifically Outlook, Excel, and PowerPoint
  • Experience in reading and writing documents in French & English with minimal grammatical errors
  • Excellent communication, oral, and written skills in both official languages
  • Excellent organizational skills and the ability to work independently with minimal supervision.
