As the Administrative Assistant for the Business & Engineering Services business unit, you will provide administrative support to the entire business unit, as well as the Director’s Office. Primary duties include:
  • Provide administrative support to the Director, Executive Advisor, and Managers as needed, including calendar management, scheduling meetings, making travel arrangements, and formatting documents and presentations.
  • Coordinate facilities both internal and external to the organization for the Director and Managers for presentations.
  • Retrieve and review records from Iron Mountain to determine what records are transitionary, required to be disposed of, or need a more thorough review by the Business Unit Records Coordinator (BURC).
  • Maintain and order required supplies including office supplies, first aid supplies, safety equipment, and printer equipment.
  • Collaborate with Information Technology (IT) for network access, shared drive, and folder access by creating and tracking remedy tickets.
  • Assist and coordinate in organizing team events, training sessions, and webinars.
  • Process and distribute incoming mail.
  • Participate in corporate projects as required.
  • Taking meeting minutes at Divisional meetings.
Qualifications
  • A High School diploma or equivalency (e.g. G.E.D.) and at least 5 years of related experience.
  • Intermediate proficiency in Microsoft Office (Word, Excel PowerPoint and Outlook).
  • Demonstrated organizational skills, accuracy, a high attention to detail and adaptability to changing priorities.
  • Strong communication and problem solving skills, along with the ability to effectively contribute and work in a team environment.
  • Records Management experience would be considered an asset.

Compensation: Pay Grade 6 $31.30 - 41.86 per hour
Days of Work: This position typically works a 5 day
work week, with 1 day off in each 3 week cycle.

Hours of work: Standard 35 hour work week
