Job Summary
This position will work with both Programming and the Operations units within the Department of Athletics and Recreation. Responsible for overseeing and leading the operations desks across several different facilities including the SRC, BirdCoop, ARC and Ponderosa Commons, this individual’s responsibilities include managing the SRC Operations Coordinator, overseeing the Student Operations staff, developing and maintaining standards for customer service, working with both internal athletic department units and external parties to schedule the facility, and handling all private bookings and equipment rentals. This position is responsible for creating a 5 year operational strategy and is also responsible for generating revenue through bookings and retail operations. This position will require evening and weekend work. The incumbent should expect to be at their desk only 75% of the time. This position reports to the Director, Intramurals and Recreation and manages over 75 operations and admin staff. This roles serves both on the fitness team as well as the operations group and interacts with other departmental and campus stakeholders .

Organizational Status
Athletics & Recreation (A&R) is a department within the VP Students portfolio, with a strong focus on creating an exceptional UBC student experience. The A&R Department has a team of approximately 125 employees, and is led by a strong cross-unit management team. It services over 60,000 students through recreational programming, 26 varsity teams, and 13 competitive clubs along with thousands of members of the UBC community.

Work Performed
Operations
  • Manages the BirdCoop, Student Recreation Centre (SRC), Ponderosa and ARC front desk operations.
  • Coordinates communication, technology and other resources required to manage operational systems to maximize operational efficiency
  • Leads all aspects of customer service including the implementation of a program-wide customer service plan. Ensures that refunds, waitlists and general participant communication are focal points of operational systems.
  • Oversees the entry of all content on the registration system; assists in the delivery of training programs for registration system data entry
  • Oversees all SRC and ARC related recreation program registrations, equipment rentals and locker rentals through the operation desks.
  • Oversee all cash handling including cash outs, petty cash, and deposits.
  • Ensures that all payment processing takes place in a secure environment and that clear and effective cash handling procedures are in place and strictly followed.
  • Manages the Point Of Sale system at the various operations desks; identifies product trends, works with vendors to supply new products and marketing to communicate new products. Oversees inventory of POS items.
  • Manages revenue targets and operations related expenses.
  • Analyzes registration trends using registration system.

Fitness Member Services
  • Sets membership packages and rates in consultation with the fitness team.
  • Oversees the sales of all fitness centre memberships and waiver administration.
  • Addresses member questions, issues and concerns that are escalated.
  • Ensures regular sales tracking and statistics are maintained.

Facility, Locker and Equipment Bookings
  • Oversees the facility schedules associated with the multi-purpose triple court gymnasium, studio and dojo in the SRC, the Ponderosa Commons studio, and the classroom and multipurpose rooms associated with the ARC.
  • Contributes to development and implementation of booking policies & procedures.
  • Manages all internal and private group booking requests and negotiates contracts for relevant spaces and equipment. Coordinates with other facility coordinators on larger scale booking.
  • Oversees the processing and data entry for rental bookings and payments into registration software.
  • Oversees the maintenance, cleaning and ordering of all rental related sport and event equipment.
  • Develops and oversees standards for rental fulfillment.
  • Oversees locker rental process: creating booking policies, updating rental rates, and developing locker clear out procedures.
  • Develops and executes a long term sales strategy for the spaces working closely with marketing staff.

Staff Management
  • Recruits, hires, trains, manages and evaluates the Coordinator, Operations. Oversees their professional development.
  • Oversees the recruitment, hiring, training, management and evaluation of the Operations Centre student staff who act as information officers, cashiers, facility staff and sales associates.
  • Monitor standard operating procedures and work methods, ensuring consistent, high quality standards

Drop in Programming
  • Organizes and promotes the long term drop-in program strategy with a focus on student utilization and program diversity.
  • Oversees program administration and program delivery.
  • Maintains participation statistics.

Marketing and Communications
  • Implements marketing and promotion initiatives in coordination with the Marketing team. Liaises and coordinates with other staff and students to execute initiatives.
  • Evaluates effectiveness of promotional campaigns and makes future recommendations.
  • Actively pursues and attends opportunities and events to enhance the Recreation spaces profiles including new releases, orientation and information fairs.
  • Prepares and distributes important information about the Recreation spaces to stakeholders and the general public.

Other
  • Assists in the developing, implementing, monitoring, and evaluation of departmental policies and procedures.
  • Plays an active role in furthering UBC A&R s mission and vision through facility and staffing initiatives.
  • Maintains fiscal accountability, prepares budgets, and reconciles all assigned accounts on a monthly basis
  • Contributes to the development and planning of REC North facility.
  • Attends meetings, staff training retreats and completes other tasks as necessary.

Consequence of Error/Judgement
This position is vitally important to the daily operation of one of the most heavily used student facilities on campus. A standard of customer service is vital to ensuring customer satisfaction. Additionally, this person is heavily involved in the cash handling and accounting of all sales that are transacted by this program. This person will be responsible for the hiring and supervision of the retail associates who are dealing with large sales volumes on a daily basis. Their judgment of character and ability to assess the work of others is paramount in ensuring that this program remains sustainable.

If any part or portion of this person s duties is neglected, severe consequences will be felt not only by the program itself, but potentially, also by participants and patrons of the facility. The improper execution of details associated with the management of the SRC could result in a tarnished program and university image.

Supervision Received
The Director, Intramurals and Recreation provides guidance and direction to the position, but the execution and decision making of the responsibilities are solely that of the Operations Manager. Due to the magnitude of the program, staff are empowered to execute their responsibilities and work independently.

Supervision Given
Responsible for recruiting, interviewing, selecting, training, supervising, and evaluating the Coordinator, Operations, and the operations centre and admin student staff.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of experience in a post-secondary education institute experience in fundraising, alumni relations, advancement experience or the equivalent combination of education and experience. Experience in a recreation setting with an emphasis on programming and operations.

Working experience with registration software required.

Previous supervisory experience of part time or student employee management and retail management also strongly preferred. Demonstrated self-starter. Strong computers skills essential.
Strong financial, organizational, and time management skills required. Ability to work well as a member of a team and as a leader of a team in a diverse and collegial environment.
Excellent oral and written communication, interpersonal and conflict resolution skills required.
Ability to exercise sound judgment, multi-task, prioritize and work effectively under pressure to meet deadlines.
