Major Responsibilities:
  • Receives attendance reporting information and prepares / processes payroll information.
  • Coordinates and inputs daily timesheets and electronic uploads of time & attendance into corporate computerized payroll / absentee systems, in regard to divisional cost centre changes, functional area codes, attendance, WSIB, lieu time, overtime, acting pay, service pay, kilometres, parking expenses, reimbursements for meal allowances, medical notes, etc.
  • Prepares and processes personnel documentation for employees, i.e., alternate rates, hiring and terminations, leave of absence requests, increments, temporary extensions, etc., utilizing corporate / internal electronic systems (i.e., SuccessFactors) and paper copy forms.
  • Prepares, maintains and monitors attendance records for salaried and bi-weekly employees. Calculates, verifies and corrects entitlements for vacation, lieu and sick bank credits. Prepares summary sheets on outstanding sick claims and doctors' certificates. Calculates and monitors lieu time.
  • Verifies and enters payroll data in SAP and Kronos WorkForce Central, follows up on any payroll related enquiries, and processes adjustments as required.
  • Identifies, verifies and makes arrangements for cancelled/replacement payroll cheques.
  • Responds to enquiries regarding collective agreements, corporate policies, payroll, and personnel matters. Verifies, tracks and resolves payroll matters.
  • Prepares reports, i.e., overtime report, reports on part-time employees. Prepares annual reports on position status and on employees regarding salary status, alternate rates, increments, sick bank / vacation / overtime / lieu time balances and attendance management information
  • Receives increment, suitability and promotion / evaluation forms for employees. Maintains files for increments and promotion evaluations.
  • Prepares and maintains payroll and personnel documents, records and files, in accordance with corporate records management policies and retention schedules. Maintains paper and electronic copies of payroll and personnel records and files for audit purposes.
  • Liaises with other departments, divisions and outside agencies.
  • Prepares payroll for the division.
  • Performs pre-audit and verifies input for accuracy.
  • Participates in divisional, Service Area and corporate-related initiatives and special projects, including payroll and human resources modernization and transformation, e.g., SuccessFactors.

Key Qualifications:
Your application must describe your qualifications as they relate to:

  • Post-secondary education in the fields of payroll, human resources management, accounting, public administration, and / or clerical/administrative, or equivalent combination of education and/or payroll-related experience.
  • Considerable clerical or administrative experience, specifically related to the payroll or attendance keeping/time entry functions.
  • Considerable experience with corporate payroll and personnel policies, procedures, practices, collective agreements, and employment-related legislation(i.e., Employment Standards Act, Occupational Health & Safety Act, Ontario Human Rights Code, Workplace Safety and Insurance Act, etc.).
  • Considerable experience using Microsoft Office Suite (i.e., Word, Excel, Outlook, etc.).
  • Experience using automated payroll/time and attendance systems and reporting software, such as SAP, SuccessFactors, Document Direct, and/or UKG/Kronos WorkForce Central

You must also have:
  • Strong analytical and problem-solving skills.
  • Ability to set up and maintain manual and computerized filing systems.
  • Excellent customer service and interpersonal skills, and the ability to communicate effectively both orally and in writing, with all levels of staff, the public and other divisions.
  • Ability to work with attention to detail and accuracy needed for payroll and attendance reporting, and maintenance of employee records.
  • Accurate keyboarding and proofreading skills.
  • Ability to work effectively with others as part of a team, as well as independently with minimal supervision.
  • Ability to use discretion when dealing with confidential information, e.g., rates of pay, employee absences, or other sensitive personnel information.
  • Ability to meet tight deadlines in a high-volume environment and to work overtime as required, including statutory holidays if operationally required.
  • Knowledge of collective agreements, corporate payroll and human resources policies, procedures, practices and related legislation.

Asset
  • Certification or enrollment in a designated Payroll Program.
