Full Description

The Position

We are currently seeking a full time, Financial Administrative Assistant. As part of the team, you will be responsible for providing administrative support duties in varying capacities. You must be available Monday to Friday from 9am to 5pm in our offices. You are detail oriented, organized and possess strong communication skills. Strong working knowledge of Microsoft Excel and Office and Intuit Quickbooks is required.

Education and Experience:

  • Experience with accounting and bookkeeping
  • Some experience in Accounts Receivable and Collections.
  • Experience with Quickbooks

Preferred Skills:

  • Working knowledge of payroll accounting principles.
  • Ability to maintain routine financial records and prepare routine financial reports.
  • Ability to communicate effectively, verbally and in writing.
  • Ability to create effective working relationships with employees and other departments.
  • Working knowledge of HR responsibilities

Responsibilities:

AR:

  • Maintaining the billing system up to date on customer payment information.
  • Generating invoices and account statements.
  • Performing account reconciliations.
  • Producing regular financial and management reports in a timely manner
  • Maintaining accounts receivable files and records.
  • Investigating and resolving any irregularities or inquiries.
  • Posting daily payments and depositing checks.
  • Calling customers to follow up on collections.
  • Performing other administrative and clerical tasks, such as data entry, as required.

HR/Payroll:

  • Maintaining employee files
  • Recording and tracking hours and vacation hours available for all employees.
  • Support functions during the hiring process, such as drafting of the offer letter and posting of new employment opportunities, as needed.
  • Entering payroll data into the payroll system and supporting management during the payroll cycle.

Accounts Payable:

  • Reviewing invoices for proper documentation prior to payment.
  • Performing invoice and general-ledger data entry in required systems.
  • Mailing cheques and keeping records of cheques sent.
  • Other administrative tasks such as vendor file maintenance.
