Alberta Infrastructure designs, builds, manages and maintains government-owned and operated facilities, and collaborates with other ministries to ensure that schools, hospitals, and government facilities infrastructure meet the needs of Alberta’s population. Alberta Infrastructure owns and manages a large portfolio of lands, including the Transportation and Utility Corridors (TUC) in Edmonton and Calgary, and is responsible for managing of numerous lease files across the province. The Ministry also provides accommodation services and manages a large portfolio of owned and leased facilities while maintaining fiscal accountability and optimizing value for Albertans.

Role


Reporting to the Facilities Manager, this position independently coordinates the provision of administrative functions for the assigned facilities, including office, financial, and human resource administration services. The Facilities Assistant prepares and administers a budget plan by providing monitoring and forecasting services, preparing contracts and monitoring contract terms and financial documents, preparing reports, and maintaining records.


In addition to drafting correspondence and administering service and maintenance contracts, the Facilities Assistant liaises with high profile building clients / tenants, in-house staff, and contractors to coordinate client services in relation to operational and tenant requirements and associated concerns.


The main responsibilities of Facilities Assistant are (but not limited to):

  • Offer operational and administrative support services to the Facility Manager’s office in accordance with relevant legislation, regulations, policies, guidelines, and standards.
  • Provide financial administration services, including budget plan preparation and administration in accordance with relevant legislation, regulations, policies, guidelines, and standards.
  • Prepare contracts and provide administration services in accordance with relevant legislation, regulations, policies, guidelines, and standards.
  • Develop, implement, and maintain appropriate administrative and financial systems and processes.
  • Coordinates administrative projects, including identifying required resources, developing, and implementing action plans, providing progress reviews, and initiating follow up.

Qualifications


Required:

  • Highschool Diploma and three years of related experience in a commercial property management or leasing environment.


Equivalencies will be considered.


Assets:

  • Knowledge of government business plans, goals, strategies, and priorities as they relate to the Ministry mandate
  • An understanding of contract law and contract administration principles and processes
  • Knowledge of business productivity tools and relevant information technology and network applications Microsoft Office, CMS, FBIS, ICAPS, 1GX.
  • Demonstrated proficient verbal and written communications skills
  • Strong organizational and time management skills, including multi-task, priority skills
  • Strong decision making and problem-solving skills.
  • Sound initiative and judgement, attention to details.


Preference will be given to candidates with the following:

  • Diploma in business or accounting
  • Experience in 3rd party subcontracting, invoice verification and payments
  • Experience in leasing and developing service contracts
  • Extensive knowledge and application of contract law
  • Experience in development of operating budget, tracking and forecasting

Salary


$1,884.99 - $2,307.87 biweekly ($49,198 - $60,235/ year)

Hours of Work:

7.25 hours / 36.25 hours a week

Location:

Lethbridge, AB.

This position is required to travel to Calgary for training and office support on a monthly basis.

Additional Information:

Hybrid Policy:

There may be an opportunity to participate in an interim hybrid work schedule (per Alberta Public Service policy) of up to two days working from your home office and three days in the office. This can be discussed with your manager upon hire.
