Reporting to the Admissions Director, the ESL Administrative Assistant carries out a variety of tasks to ensure comprehensive administrative support for the Admissions and primarily ESL Department directly working with the ESL Head of the Department. Much of the work is time sensitive and at times of confidential nature.


Essential Duties:


  • Administer the ESL student lifecycle from registration or admission to graduation or leaving and engages in day-to-day activities in Admissions office.
  • Monitor ESL students’ admission documents submitted by agents, students, advisors and other third parties, on the internal student management system.
  • Responsible for student requests related to admission documents and issuance of the relevant documents including LOE requests, classroom changes etc.)
  • Assist the college accountant in processing the invoices/payments (when required)
  • Maintain a database of ESL student information, maintain filing and archiving systems including confidential documents.
  • Provide support and back up to the team and other departments as assigned by Management and Admission Director

KNOWLEDGE, SKILLS and ABILITIES:

REQUIRED:


  • Minimum 2 years of office experience in an administrative support role
  • Experience working in a multi-cultural environment
  • Ability to establish and maintain effective working relationships in a team environment
  • Extensive knowledge using Word, Excel, Outlook, Teams, Classe365
  • Excellent verbal and written communication skills to deal effectively and tactfully with the staff in different departments across 3 campuses, senior management, students, agencies and the public
  • Strong organizational abilities with an ability to multi-task in a high-volume work environment with frequent interruptions and shifting priorities, and deadlines
  • Ability to exercise independent judgment, discretion and maintain a high level of professionalism
  • Ability to work with limited supervision if required

PREFERRED:

  • Education or courses in Business, Communications or related fields
  • Second language
  • Previous experience in the education industry
