Administrative Assistant Planning and Economic Development
Permanent, Full-Time – 35 hours per week
$54,764.00 – 68,396.00 / annum
We are currently recruiting for a permanent, full-time Administrative Assistant Planning and Economic Development department.
About the Opportunity:
The Administrative Assistant Planning and Economic Development is responsible for a range of duties to ensure the smooth operation of the department and a positive customer experience. You get to be the go-to person that helps the team do their best work and provide the best service possible to residents, business owners, development partners, and other city departments. These duties include being the first point of contact for general inquiries to the department, maintaining records, communicating with stakeholders, managing expenses and invoices, supporting mailouts, and reciprocal coverage for other key administrative roles in the department, among other supportive activities.
The Administrative Assistant plays a key role in assisting the Director by handling confidential information, prioritizing phone calls and emails, organizing their calendar and priorities, creating regular meeting agendas and taking minutes, drafting communications and inputting data into quarterly monitoring reports, and assisting with other special projects.
This role has the chance to build strong relationships within and outside the team to contribute to the building of our City. Our team provides a variety of services including planning, development, economic development, and safety codes. So there’s always something interesting to do. City of Leduc has a great corporate training program and job-specific training will be provided. This position qualifies for the Earned Day Off program and may be able for a hybrid work arrangement in alignment with meeting the requirements of the City’s Work From Home policy, with Director approval.
Responsibilities of the position include, but are not limited to:
  • Answer inquiries by phone and email about services provided by the department and/or guide inquiries to the appropriate staff to respond.
  • Provide support to the Development Officers and Planners for activities like mail outs and other administrative tasks.
  • Provide support to the Director by managing their calendar, recurring meeting agendas and minutes, reviewing and proof-reading reports or other communications, and other administrative duties.
  • Assist with planning and coordination events such as open houses, workshops, conferences, and other similar functions.
  • Periodic coverage for booking safety codes inspections, intaking permit applications, business licenses, or front counter coverage for breaks and vacations.
Qualifications:
You are an ideal candidate if you have the following:
  • High School Diploma and/or competition of a diploma training program at a college or technical school
  • Minimum one (1) to three (3) years of experience in an office environment
  • Strong written and verbal communication skills with experience providing superior customer service.
  • Administrative experience related to the service areas of the department is considered a significant asset for this position.
  • Comfortable using and learning different software applications and supporting others in their use. Workday, Cityview, or other electronic permitting software experience is considered as a significant asset for this position, however, training can be provided as needed.
