Full Description

This is a full time support staff Bargaining Unit position reporting to the Senior Dean, International Education & School of Information Technology working 35 hours per week at an hourly rate of $33.38.

This is a less than 12 month position - with the months of October & November off annually.

The successful candidate will provide quality assurance support, data analysis and academic program assistance at PCPPs (Public Colleges Private Partners) study locations in GTA for a period of 10 months a year. They will be responsible for assisting the Senior Dean and International Quality Assurance Coordinator to ensure that all aspects meet Ontario Public Colleges Standards of Practice for International Education, all Lambton College specific quality assurance standards, policies and targets as well as College Quality Assurance Process Audit (CQAAP) requirements.

Preference will be given to candidates within the GTA region; as site visits to the PCPP’s in Mississauga and North York will occur on a weekly basis. Some project work will happen in the early evenings and on weekends.

Specific Accountabilities:

Project Management
  • Creates project plans, monitors implementation, and coordinates with all stakeholders to ensure effective delivery of projects.
  • Create processes to create efficiencies within the International Education Quality Assurance requirements using project management software such as MS Planner or Trello from the data that QA collects from the PCPPs.
  • Maintains deadlines to ensure that timelines are met and ensures that PCPPs are prepared for the upcoming academic year.
  • Uses Project Management software to aid in the monitoring of program changes, course outline updates, PAC and PCC suggestions.
  • Uses Project Management software to manage new program development within the International Education department.
•Creates visuals of processes to explain relationships between stakeholders using software such as Visio. •Collaborates with the Deans, the Department and college stakeholders to improve international students’ experience at Lambton in the GTA and within the community.
  • Keeps a high level of confidentiality on special projects.

Operational
  • Responsible for preparing, submitting, and coordinating activities related to the College Quality Assurance Process Audit and all follow-up activities that follow the completion of the audit process concerning international programs at the PCPPs.
  • Assist with the data collection in various forms including surveys, forums, meetings.
  • Collaborates with the Marketing & Communications department in developing content that accurately captures and communicates programs, tuition, and student policies to agents and students.
  • On-site visits to PCPPs in Ontario to communicate issues, collect data and meet various stakeholders such as instructors, students and staff at licensed partners.
  • Ensures website information and data is correct and complies with MCU College Advertising and Marketing Guidelines within the Framework for Programs of Instructions, Lambton College’s International Education Marketing, Recruitment, Admission and Advising Policy and Lambton College branding standards.
  • Monitors PCPPs students’ tuition and fees; maintains a process to ensure that fees are accurately promoted on the website, are accurate in colleague, communicated to potential students and the PCPP locations.
  • Coordinates feedback from PCPPs on curriculum changes, program mapping and ensures that all course outlines are entered correctly into COMMS and mapped accordingly.
  • Instructs partner schools on KPI and student satisfaction distribution.
  • Leverages and learns new technology as required by the departmental needs to impact the quality of programming positively.
  • Administers focus groups on supporting quality improvement initiatives required by International Education.
  • Updates and monitors a repository of program Quality Assurance reviews, program mapping, Vocational Learning Outcomes and other curriculum-related data and reports.
  • Creates and maintains workflows, processes and manuals to provide support to the PCPPs.

Data Analysis
  • Compiling and analyzing data using Excel and Power Bi.
  • Creates dynamic dashboards using data derived from Salesforce.
  • Assist in analyzing and collecting data to determine the level of quality offered at the off-site partners to evaluate if agreed upon academic and operational standards are being achieved. KPI surveys, CQAAP audit documentation, Standards for Practice for International Education and various standardized tools will be used to collect, inform, and assess quality.
  • Analyzes data to determine if academic programs, course standards and procedures are being met.
  • Prepares actionable reports on performance data for partners concerning strategic priorities and directions so they may develop and implement initiatives.
  • Oversees the delivery of KPIs, Student Satisfaction surveys, Student Perceptions of Learning and Graduation surveys to collect required data as required by CQAAP and supports operational decision-making and quality improvement at each partner location.
  • Influences continuous improvement through empowerment and data/Key Performance Indicators management. (Student forums, Comprehensive Program Reviews and International Student Satisfaction Survey)
  • Identifies gaps in data availability and defines/implements solutions to close the gaps.
  • Analyzes collected data, investigates where students are unsatisfied, and solves the problem accordingly.
  • Collects feedback from a variety of student services to ensure they are meeting College standards.

Special Projects as Required

Qualifications:

  • 3 year diploma/degree (or equivalent) in Project Management, Education, Computer Studies or Business
  • Minimum of 3 years of practical experience in the field of quality assurance and/or project management
  • Extensive and well-developed skills in data analysis, word processing, spreadsheet, project management and presentation software. (Excel, Power BI, MS Planner, MS Project, Visio and SharePoint)
  • The ability to create dashboards and analyze data obtained from Salesforce
  • Strong project management skills to meet deadlines, ensure licensed partners are delivering the next steps, and ensure optimal delivery of new programs
  • Well-developed facility with numbers, data analysis and presentations
  • Strong intercultural communication skills to communicate effectively with off-site partners and international students
  • A valid passport and driver’s license
