The Community Engagement and Cultural Services (CECS) division has an opportunity for qualified individuals to apply for the position of Administrative Assistant. Reporting to the General Manager of CECS, this position offers 72 hours bi-weekly starting approximately as soon as possible.

The Administrative Assistant’s role is to provide administrative support to the General Manager of CECS and supplementary support for the divisional Managers and staff as needed. Responsibilities include but are not limited to; coordination and organizing of the division’s community engagement initiatives such as public meetings/open houses; committee meeting support with meeting scheduling, minutes, agendas, new membership calls, and related administration; other meeting preparation and recording; organization of departmental Outlook calendars; Agresso financial activities and budget reporting; ADP timekeeping; and compile and prepare reports, documentation and communications including website administration with regular review and updates. This role will provide prompt and courteous assistance by providing routine information on CECS division operations to members of the public, staff, consultants, contractors and developers or will direct the inquiry to the appropriate personnel.

Qualified candidates will possess a grade 12 diploma and courses in Administration and/or Business Management supplemented by at least 3 years of experience in a similar administratively focused position with an element of customer service. Qualified candidates also possess strong proficiency with the Microsoft Office Suite; experience with a variety of office equipment; and knowledge and experience with formal filing and records management systems. Previous experience in a local government setting and knowledge of Municipal policies and procedures, departments and of the Whistler resort community considered an asset.

The successful candidate demonstrates excellent verbal and written communication skills and is a professional and helpful individual with a high degree of tact, diplomacy and discretion with the ability to maintain confidentiality. Also, has the proven abilities to handle urgent requests, multi-task amid frequent interruptions, and work within firm deadlines. The successful candidate also demonstrates commitment to promoting a diverse and inclusive workplace within their team and will create and maintain effective working relationships with others while contributing to a positive environment.
