ROLE SUMMARY

Administrative Accountant

The Administrative Accountant responsibilities include assisting and directly managing all accounting specific to analysing financial records, conducting internal financial audits, and managing accounting documentation and reporting thereof. The ideal candidate for this position is a self-starter who can work well in a fast-paced changing environment and manage a variety of administrative and clerical tasks. The objective of this role is to sustain efficiency of accounts payables and receivables, administration thereof, and protocols to guarantee reliability and consistency for the organizations finances. The ideal candidate will have strong professional skills and a sense of discretion and experience working with executive management.

RESPONSIBILITIES SUMMARY

  • Provide administrative and direct support to CEO and Director of Operations
  • Managing all vendor payments and expenditures, including purchase orders, invoices, statements, etc.
  • Support monthly reporting to CTLS, CRA, and other applicable provinces and/or foreign countries
  • Reporting monthly, quarterly, and annual financial performance
  • Keeping track of all customer receipts, including credit memos, invoices, statements, etc.
  • Reconciling production orders by verifying entries and comparing system reports to balances with internal financial and traceability software
  • Maintaining complete and accurate historical financial records
  • Other duties as assigned

Principle Duties and Responsibilities:

  • Self-train and use internal resources and/or tools to meet industry standards for accounting
  • Manage collecting, reporting, and payment for employees
  • Managing vendor accounts for AR/AP and ensuring payment for outstanding credits and past due balances; generally responding to all vendor enquiries regarding finances
  • Overall upkeep and filing of office administrative documentation related to finance (e.g., file, organize, scan, copy, and fax documents)
  • Provide insight in continuously improving internal financial processes, practices, and procedures

Health & Safety:

  • Follows safe work practices and procedures and reports all unsafe working conditions/hazards to Director of Operations and/or designate
  • Maintain a positive attitude with emphasis on a culture of safety and respect towards colleagues and visitors

  • Reports to: Denise Hannay, President & CEO

WORKING CONDITIONS

  • Office environment, casual clothing, indoor, private office
  • Need to interact and communicate frequently with executive management
  • Address identified problem areas with a calm and involving approach
  • Exceptional time management, organizational, and interpersonal skills
  • Excellent communication skills including writing and good documentation practices
  • Flexible to adapt to a changing environment
  • Flexibility to overtime as required to complete assigned tasks and/or projects
  • Move and carry equipment up to 50 lbs. in weight
  • May be required to support Eco Canadian Organic Inc. manufacturing processes not related to administrative work (e.g., packaging, etc.)
  • Exposure to environmental allergens including cannabis, THC, CBD, etc.
  • Superior hygiene

  • Timely response to meet E.C.O. Quality Management requirements mitigating impacts to productivity

EDUCATION, QUALIFICATION & EXPERIENCE

  • Bachelor's degree in Accounting, Finance, Economics or related field of study, required
  • Experience in a food and/or pharmaceutical manufacturing environment is preferred
  • Minimum 1-3 years of experience as an accountant
  • Strong sense of responsibility and ability to complete tasks quickly and with minimal supervision
  • Interpersonal, communication, written, mathematical and execution skills and high level of attention to detail
  • Decisive, action-oriented, decision making and/or recommendation abilities
  • Proficiency with Microsoft Office (e.g., Word, Excel, PowerPoint, Office)
  • Proficiency with accounting software (e.g., Sage)
  • Experience and proficiency with traceability software (e.g., Artimus)
  • Outstanding time management, multitasking and computer software skills
  • Ability to communicate effectively with executive management
  • Ability to respond to questions and seek clarification
  • Maintain a high level of confidentiality and discretion
  • Ability to take initiative and be proactive by identifying where assistance is required
  • A reliable vehicle for transportation year-around
  • No criminal record
