Purpose


Contributes to the overall success of the Scotia Wealth Management Head Office in Canada ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. Ensures all activities conducted are in compliance with governing regulations, internal policies and procedures.


As a first point of contact, the Receptionist is a highly visible role, responsible for contributing to the overall success of the unit by greeting and directing clients; taking and relaying messages for the unit; responding to and actioning client requests and providing administrative support to other branch team members, while adhering to Bank security and operational procedures and policies. Service is provided in a matter consistent with Scotia Service Standards and complaint resolution Standards.


Accountabilities


  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  • Receives all visitors, including phone calls and responding or forwarding to the appropriate individual for timely response
  • Maintains consistent communication to the department with regards to Bank, business line, and/or building updates and notices
  • Ensures department is maintained in such a manner to present a professional image
  • Coordinates the booking of conference rooms, arranges catering (refreshments, lunch), special events as required
  • Maintains office supplies inventory at proper levels and ensures timely ordering
  • Assists with security related activities and key holder responsibilities, including but not limited to; managing security badges, open/close the office and liaising with building security
  • Kitchen/ kitchenette is inspected on a daily basis; kitchen cupboards are stocked; counters are clean, dishwasher is turned on at least once a day, and cleaned utensils are emptied.
  • Ensures coffee and vending machine supplies are stocked and replenished in a timely manner
  • Liaises with office equipment vendors for maintenance as needed
  • Performs daily mailroom duties and ensures all documents and/or deliveries accurately reach our internal employees
  • Accepts deliveries and arranges for courier service; receives/ sorts/ logs/ distribution incoming and outgoing mail and courier; prepares outgoing mail and courier for dispatch; arranges for or making urgent deliveries of documents/packages
  • Assist with other administrative duties as required: maintaining departmental logs, Willbank support and distribution of corporate action bulletins etc.
  • Acts as the primary Health & Safety Representative/ Officer for the department; assists in building management inspections and completes monthly checklist
  • Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of their respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Education / Experience / Other Information


  • Superior client service skills
  • Provide professional and courteous telephone support
  • Knowledge of the operation of a multi-line switchboard
  • High level of problem-solving abilities
  • Outstanding written and oral communications skills
  • Highly organized with the proven ability to manage multiple priorities and deadlines
  • Effectively interface and develop working relationships with all levels of the organization and external clients
  • Work independently and develop working relationships with all levels of organization and external clients
  • Maintain a high level of confidentiality and discretion
  • 3-5 years of experience as a receptionist with a mid-large organization
  • Strong proficiency in MS Office- Word, Excel, PowerPoint and Outlook
  • Bilingual (French/English) an asset
  • Ability to effectively interact with clients and all personnel in the Department and an ability to cope with work related issues that arise during peak periods
