SUMMARY OF POSITION

Private Pension Partners Realty Services Inc. (“P3 Realty”) is currently seeking a Property Manager/Community Manager to join our team. This live on-site position of the Property/Community Manager will be to oversee overall operations of our building located at 3015 Pembina Highway (“The Halo”). This will include but is not limited to managing site staff, tenant relations, leasing, and maintenance for the site. The successful candidate must have at least 2 years’ experience as a Property Manager (residential and/or commercial) or relatable position. Preference will be given to candidates familiar with Yardi Property Management software or similar systems. Preference will also be given to CPM’s or CPM candidates. SUMMARY OF ESSENTIAL JOB FUNCTIONS

  • Build sustainable relationships with clients, co-workers, vendors, real estate community and tenants;
  • Conduct inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property such as common areas, building exteriors and landscape;
  • Work collaboratively with the owner to create Property Management and Preventative Maintenance plans including the replacement of major capital expense items such as HVAC system, roof systems and parking lot surfaces;
  • Establish appropriate rental rates, work with our leasing team on leasing strategies, market research, and rent averaging where possible;
  • Complete inspection of all suites becoming vacant to determine work needed to upgrade suite for incoming tenants or where work is requested in order to maintain tenancy at renewal; negotiate with the tenant to secure renewal when necessary;
  • Provide excellent tenant service. Respond to tenant requests/problems in a timely and courteous manner, and generate work orders directed to vendors or maintenance staff. Follow-up with the tenant to ensure satisfactory resolution of the issue. Ensure that there is 24-hour emergency coverage for the property at all times;
  • Correspond with tenants regarding rent collection, overdue accounts, building violations, common area costs and property taxes;
  • Attend Residential Tenancies Board & Residential Tenancies Commission hearings and/or appeals, including preparation of files, for all claims;
  • Responsible for assisting in the hiring and training of Resident/Building Managers, Custodians, and Maintenance personnel;
  • Ensure a smooth process for tenants that are exiting as well as new tenants coming in;
  • Facilitate conflict resolution with tenants and owners;
  • Analyze and distribute monthly financials including operating variances from budget, cash management and strategies for collecting receivables;
  • Prepare, implement and oversee annual operating budgets for each building in assigned portfolio. Present budgets to building owners and ensure agreement;
  • Ensure monthly financial statements and disbursements are accurate and timely;
  • Ensure rent is fully collected each month;
  • Administer leases, reviews all tenant billings, analyzes lease clauses, prepares vacancy reports, enforces tenant compliance and performs landlord obligations;
  • Approve, oversee and administer contracts for provision of property services, such as cleaning and maintenance, snow removal, landscaping, etc.;
  • Ensure all tenant and landlord insurance is current;
  • Prepare legal documentation (i.e. lease documents, renewals, etc.); and
  • Continually strive for exceptional maintenance and management in accordance with approved budgets and property management agreements.
  • Troubleshooting and responding to after-hours issues regarding the facility; and
  • On call rotation between the Property Manager/Community Manager, Asset Managers and Maintenance personnel.

Qualifications

  • A minimum of 2 years of experience as a property manager (residential or commercial);
  • Highly motivated self-starter with experience in managing personnel;
  • Able to effectively multi-task and be able to prioritize time-sensitive tasks and matters, deal intuitively with any situation and work under minimal supervision;
  • Experience with interacting with people in a confident manner with excellent communication skills in English, both oral and written, and the ability to form positive relationships with others. Furthermore, the qualified candidate is comfortable corresponding in writing to various levels of management within P3 to ensure appropriate staff are up-to-date with building operations;
  • Strong organization, planning and diplomacy skills to prioritize tasks, interact with trades, handle conflict and exercise sound judgement;
  • Knowledge of the Residential Tenancy Act and RTB Policies and Procedures Guidebook will be considered an asset; and
  • Experience working with Yardi software will also be considered an asset.
