A day in the life of a Portfolio Data Administrator

The Portfolio Account Data Administrator position requires a unique combination of data entry skills and a general understanding of broker transactions as they appear on monthly broker statements. As the Portfolio Account Data Administrator, you will be responsible for manually entering purchases, sales, income and fee transactions into RFO’s portfolio management system (APX/Advent). You will also be responsible for identifying and correcting non-reconciling accounts (client versus APX). While the successful candidate must be able to work effectively in a team environment, he/she will primarily work autonomously to achieve the objective of transferring transactional data from monthly broker statements into APX.

Main Responsibilities

  • Data entry for monthly transactional data on client’s broker statements
  • Compare month-end market values and cash balances per client broker statements to the same balances in APX and reconcile and adjust for any significant differences
  • Enter month-end unit or share prices into APX as required in order to balance accounts
  • Look up CUSIP numbers from a portal as required in order to balance accounts
  • Set-up new securities in APX
  • Open new client accounts in APX
  • Verify third party monthly reconciliation balances to ensure they are within tolerance, and advise or correct, as necessary
  • Work to resolve outstanding reconciliations or obtain outstanding statements on a timely basis
  • Respond to requests from internal staff, mostly pertaining to reconciliation issues for upcoming client meetings

Your Profile

  • College diploma (CEGEP level or equivalent)
  • Minimum 5 years of relevant experience performing similar activities
  • Experience working in a “back office” environment for an investment management firm would be an asset
  • Knowledge of MS Office, in particular Excel
  • Ability to work under pressure in a professional, and efficient manner
  • Attention to detail is a must have
  • Able to work autonomously and to manage time efficiently
  • Organizational skills, ability to multi-task, set priorities and complete tasks in accordance with timelines
  • Team player
  • Proactive and flexible
  • Knowledge of spoken English and French
