We are currently seeking an Office Administrator in our Truro, NS office. The successful candidate will work closely with the local leadership team and be responsible for a variety of tasks. This work will include proposal preparation, organizing data, creating reports, contract management, marketing assistance, and general office functions. Key Responsibilities Include:
  • Prepare high quality proposals for multiple public and private sector clients.
  • Generate project documents, reports, and specifications.
  • Provide administrative support to all departments and office operations.
  • Reception duties, including managing incoming calls and greeting visitors.
  • Maintain an efficient filing system to ensure reports, correspondence, and financial documentation are readily available.
  • Maintain an organized electronic filing system to ensure business and operational reports, forms, and other business documents are readily available.
  • Maintain office supplies and equipment.
  • Perform other general administrative duties including data entry, filing, meetings/event planning, and other admin duties as assigned.
Skills and Experience:
  • Ability to manage multiple projects at the same time and assess situations of urgency with minimal oversight
  • Highly organized and proactive with meticulous attention to detail
  • Practical experience researching, creating assembling and publishing high quality documents, including proposals, reports, specifications, and related project deliverables.
  • Advanced level of proficiency in the latest versions of Microsoft products including Windows, Teams, Outlook, Excel, and Word, required.
  • Experience working in a fast-paced professional services environment.
  • Post-secondary education in Business Administration, Office Administration, Administrative Assistant Program or related discipline.
  • Minimum of 1-2 years of experience in an office administration, customer service, reception, or marketing role.
  • Additional experience in construction and/or engineering industries considered an asset.
  • Excellent written and verbal communications skills with fluency in English
