Full Description

Reporting to the Chief Administrative Officer (CAO) of the Town of Innisfail (Town), you will provide administrative support to the CAO and leadership team, and to the Mayor and Town Council, to ensure maximum efficiency and effectiveness. Your knowledge of the functioning of a municipality, your familiarity with legislation, regulations and town policies and procedures, along with your high degree of professionalism, tact, initiative, and judgement will ensure your success in this role.

Your Key Responsibilities Include:

  • Act as first contact for everyone wishing to speak with the Mayor and Council and respond to standard inquiries on their behalf.
  • Schedule and coordinate meetings with multiple parties, and ensure all details are handled.
  • Manage Council and CAO calendars and provide reminders.
  • Draft routine correspondence and arrange for signatures and approvals of documents.
  • Provide support to various meetings including recording and distributing minutes for Council meetings, public hearings, and other Town committees.
  • Plan and organize Council and Town events.
  • Coordinate and book travel, conferences, and other events.
  • Provide backup support to Town administrative roles as required.
  • Undertake special projects in the Town’s interest.

You Have:

  • A recognized diploma in Office Administration or equivalent formal training.
  • Minimum 5 years of related experience supporting senior leaders, preferably in a municipal government environment.
  • Exceptional communication skills – both written and verbal, including experience drafting correspondence, presentations, and reports.
  • Extensive experience in a wide range of administrative skills including calendar management, travel coordination and taking minutes.
  • Demonstrated a high level of professionalism, tact, and confidentiality.
  • Expert proficiency in MS Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat Pro and SharePoint.
  • Experience and/or training in records management would be considered an asset.
