GENERAL DESCRIPTION:


The Coordinator, Health and Safety is responsible for providing confidential administrative support and on-site coordination and assistance related to non-operational activities of the Health and Safety team. This includes responding to enquiries, coordinating multiple schedules, financial and budget administration support, and records maintenance. Incumbent will be required to preserve the confidentiality and security of all correspondences, documents, and information, and prevent errors in accuracy. Primary responsibilities of this position include:


General Administration:
Implements, creates, tracks, assembles and maintains all documents, invoices, files, expenses, notifications, spreadsheets, statistical reports, presentations, and other related documentation. Ensures phone and email enquiries are appropriately directed and responded to. Purchases tools and equipment and prepares agendas, meeting minutes, letters, reports, and other documentation required. Provides data entry and scheduling support as required.


Departmental Support:
Assists in maintaining the Municipality’s Health and Safety management system including developing and maintaining action plans, creating statistical reports, performing trend analyses, and drafting policies and procedures. Maintains intranet sites and assists with service delivery.


Program Development:
Assists in the development, maintenance, and review of applicable programs such as the Municipality’s commercial vehicle safety program, disability management program, and airport safety program. Assists with Health and Safety related software implementations and develops processes to support Health and Safety software execution. Analyzes department goals and objectives to ensure tasks are aligned and meeting service levels. Other special assignments and projects as required. Assists with research and development of department initiatives, programs, and best practices.


SKILLS REQUIREMENTS:


Candidates need to show evidence of the following:

  • Excellent customer service skills and the ability to establish and maintain effective working relationships with employees, leaders, and external contacts.
  • Proven ability to understand privacy and maintain confidentiality on information and documentation.
  • Strong communication skills, both verbally and written, and the ability to accurately record information.
  • Demonstrated ability in handling a fast paced and varied workload in a flexible manner.
  • Must be a self-starter able to work with a minimum of supervision and direction.
  • A high proficiency in Microsoft Office programs (Word, Excel, PowerPoint, Outlook).


EDUCATION:


  • Diploma in Business Administration or Occupational Health and Safety is required
  • A recognized Health and Safety Administrator designation is preferred.
  • An equivalent combination of education and experience may be considered.


EXPERIENCE:


  • Two (2) years' of experience in a professional administrative, confidential environment, or four (4) years' of experience in a general health and safety role is required.
  • Experience with relevant processes and/or legislation such as Occupational Health and Safety, National Safety Code, Worker’s Compensation, and Environmental Protection Enhancement Act is preferred.
  • Experience working in a public-sector environment with unionized and non-unionized employees is considered an asset.


OTHER REQUIREMENTS:


  • Ability to provide a Criminal Record Check for review and acceptance.
