About Our Opportunity


Providing administrative support to the Project Executive and staff of the Clinical team, you will ensure the effective management, coordination and efficient operation of the office. You will work in a highly collaborative environment and will carry out the day-to-day administrative functions with minimal direction. You will act as the liaison for staff, other government departments (federal, provincial, and territorial) as well as external stakeholders in a highly confidential environment.

Primary Accountabilities


You will also:


  • Manage review and approval processes and related filing
  • Manage the Project Executive’s and other team member’s electronic calendars
  • Review documents, reports, briefing materials, and presentations for quality and completeness
  • Arrange meetings, events and teleconferences
  • Prepare agendas and minutes
  • Process occasional invoices for payment, travel requests, and expense claims
  • Manage the processing of correspondence, as well as relevant formatting and review

Qualifications and Experience


This role requires the successful completion of a one-year secretarial course from a recognized program plus three years of related experience; an acceptable equivalent of education and experience may be accepted.


As the successful candidate, you will possess advanced skills in MS Office Products, including MS Outlook, Word, Excel and PowerPoint. You will have experience with meeting preparations, filing, minute taking, preparation of reports, and processing invoices for payment as well as excellent typing, proofreading and grammatical skills. This position will require excellent judgment and an ability to balance multiple priorities under tight deadlines with a strong eye for attention to detail to ensure accuracy. Strong interpersonal, communication and administration skills are essential as is confidentiality and the ability to work in a team environment.

Pay Grade: CL 18

Salary Range: $1,626.82 - $1,820.19 Bi-Weekly
