Full Description

We are hiring for an Administrative Assistant on our highly engaged, high-reaching and experienced team Tax team downtown Toronto.

Responsibilities:
Provide a full range of clerical and administrative support services to the OMERS tax team
Manage, coordinate, and maintain calendars and work collaboratively with other Administrative Team members to facilitate scheduling of team meetings
Demonstrate creative problem solving and initiative as conflicts arise to ensure activities are running smoothly
Adaptable and flexible in scheduling, organizing, and completing assignments based on changing priorities
Co-ordinate departmental meetings including agenda development and distribution, reservation, and preparation of [virtual] meeting rooms and documentation and distribution of meeting minutes.
Coordinate domestic and international travel arrangements and itineraries.
Plan and coordinate onsite and offsite meetings, meeting rooms, special functions and events including logistics such as location, meals, technology, communication, materials and RSVPs.
Additional general office duties may include ordering catering, mail distribution, greeting guests, etc.
Process all invoices received for payment and complete expense reimbursement requests and lead annual budget accrual process
Work collaboratively with the Executive Assistant supporting the OMERS Global Head of Tax to provide backup and vacation coverage support
Performs additional administrative duties and/or special projects as assigned

Qualifications:
Minimum 5 years of administrative support level experience
Excellent computer literacy and MS Office Suite experience, including advanced reporting and document development and proficiency in PowerPoint, Excel and Word
A proactive problem solver, who anticipates solutions before problems persist
A team player who collaborates with multiple levels including external stakeholders.
Time management and organizational skills with the ability to multi-task in a fast paced and demanding environment.
Work extremely well under pressure with the ability to meet tight deadlines while maintaining attention to detail
Flexible and adaptable to changing priorities
Strong interpersonal skills and takes initiative in a dynamic environment
Exercises high levels of professionalism, discretion, tact and judgment to deal with sensitive and confidential materials and matters
