Scope

Surrey Civic Theatres (SCT) has a dedicated staff team that delivers a busy schedule of high-quality performing arts initiatives. These include a curated mix of professional performances ranging from theatre, music, dance, stand-up comedy, and puppetry, to artist talks, registered arts educational programs, workshops, and community led arts and culture events. These SCT initiatives engage citizens through an invitation to connect, laugh, dance, have thought-provoking discussions, and be inspired in creative experiences, and conversations about issues and ideas that matter in the community.
The SCT Box Office Assistant (Clerk 3) role is a moderately complex, diversified clerical role, focusing on customer service, supervisory and administrative support. Working as part of a dynamic theatre team this regular, part time position reports to the Manager, Performing Arts and will be supervised by the Operations Coordinator to support the daily business and operational needs of SCT.

Responsibilities

Collects and inputs/outputs data in TheatreManager (ticketing software).
Assists in creating events in TheatreManager.
Files, keeps records and prepares reports.
Customer care administration: sends out performance announcements and performance reminders to ticket holders using TheatreManager.
Liaises with staff to facilitate smooth operation of all events.
Is an active and supportive member of the theatre administration team.
Checks, balances, maintains accounts, reconciliations, and other records.
Prepares and posts schedules, sign up notices and charts.
Posts, maintains, reconciles, and balances records not requiring special accounting techniques.
Operates office equipment and related software, such as Microsoft Office Suite, PC, phones, photocopier, and fax machines.
Assists other staff in performing their duties as required.
Qualifications

Completion of Grade 12, supplemented by several courses in word processing, office practices and PC office applications. Minimum 2 years’ experience and training in an office environment. Must have accurate typing speed of 45 wpm.
Knowledge, Ability and Skill
Knowledge of Customer Relationship Management software (i.e., Theatre Manager) would be an asset.
Flexible, ability to prioritize, and adaptability is required.
Ability to communicate effectively both orally and in writing.
Ability to understand and effectively carry out oral and written instruction.
Independence in judgement in performing the duties of the position.
Ability to maintain moderately complex records, prepare reports and make arithmetical calculations rapidly and accurately.
Knowledge of filing, indexing methods and record keeping.
Ability to follow routine procedures with a minimum of supervision.
Ability to provide accurate information to others.
Ability to train junior personnel.
Ability to assemble and prepare statistical reports and tabulations.
Good public relations skills and interpersonal skills.
Knowledge of PC office applications and good key board skills.
Physical strength, stamina, and coordination to carry out the duties of the position.
