Purpose of Job: The Service Officer’s primary focus is to provide centralized administrative support for select Advisor teams. The Service Office will act as liaison between head office and
Advisor teams.


Major Accountabilities:

1. Provide effective administrative support in a centralized environment by:
  • Processing new account documentation and monitoring all outstanding documentation
  • Processing incoming client account transfer requests and adhering to regulatory deadlines
  • Scanning and transmitting documentation to Head Office
  • Updating client information
  • Updating corporate account information
  • Adhering to all firm and regulatory policies by remaining up to date with all regulatory rules regarding client account documentation and account transfers

2. Ensure a high level of client service by:
  • Maintaining and communicating status of all work in progress to multiple Advisor teams
  • Identifying and escalating incidents of concern

3. Provide support to Branch Management by:
  • Keying trailers and same day trade corrections
  • Entering bust or cover orders
  • Processing Advisor code changes

4. Contribute to the effective functioning of the branch team by:
  • Building effective working relationships across the team and with various business line and corporate function contacts
  • Maintaining a high level of customer service
  • Facilitating a culture of open and honest communication
  • Actively participating and contributing to touch bases and team meetings
  • Encouraging the generation of new ideas and approaches
  • Actively sharing knowledge and experience to enhance the development of all team members
  • Developing and executing a meaningful employee development plan


Education/Work Experience/Designations

  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Ability to take initiative and work independently
  • Ability to meet deadlines
  • Knowledge of Microsoft systems: Word, Excel and PowerPoint
  • Previous industry experience
  • Secondary education

Dimensions:

  • Work independently on specific tasks
  • Manage the resolution of issues between head office departments and Advisor teams
  • Manage conflicting priorities from multiple Advisor teams

Working Conditions:

  • Travel within the province and country will be required occasionally
  • Flexible working with evening hours, weekends and overtime when required.
  • The role operates within a standard office environment
  • The branch is a fast paced often high stress environment often with conflicting demands
