Responsibilities

  • Preparing all documents related to client account opening/updating
  • Preparing all files for client meetings
  • Processing and tracking all transactions relating to client investment and insurance accounts
  • Preparing investment summaries
  • Booking client appointments – daily scheduling and confirmation phone calls
  • Booking out of town travel – client meetings and hotels
  • Ensuring all processing deadlines are met and processed with a high level of accuracy
  • Track term insurance renewals
  • Responding promptly and courteously to inquiries from clients pertaining to their investment accounts
  • Mail, answering phone calls and emails, filing and other admin tasks as assigned

Requirements

  • Work experience as an Office Assistant or a similar role
  • Previous experience within a financial investment firm would be considered an asset
  • Having obtained licensing or having passed the Canadian Securities Course (CSC), Investment Funds Institute Course (IFIC) and/or Life Insurance license, would be considered an asset
  • Willing to expand role and obtain licensing would be considered an asset
  • Excellent communication and problem-solving skills
  • Strong administrative skills and attention to detail
  • Proficient with Microsoft Office products
  • Ability to prioritize tasks involving clients’ accounts, inquiries, and office operations
  • Ability to work independently, as well as in a team setting
  • Highly organized with strong organizational and time-management skills
  • Excellent telephone etiquette
  • Ability to follow company policies
  • Background check

Job Information

  • Reporting to an Investment Advisor
  • Monday – Friday, 8:30AM – 4:30PM in the office
