Responsibilities
- Preparing all documents related to client account opening/updating
- Preparing all files for client meetings
- Processing and tracking all transactions relating to client investment and insurance accounts
- Preparing investment summaries
- Booking client appointments – daily scheduling and confirmation phone calls
- Booking out of town travel – client meetings and hotels
- Ensuring all processing deadlines are met and processed with a high level of accuracy
- Track term insurance renewals
- Responding promptly and courteously to inquiries from clients pertaining to their investment accounts
- Mail, answering phone calls and emails, filing and other admin tasks as assigned
Requirements
- Work experience as an Office Assistant or a similar role
- Previous experience within a financial investment firm would be considered an asset
- Having obtained licensing or having passed the Canadian Securities Course (CSC), Investment Funds Institute Course (IFIC) and/or Life Insurance license, would be considered an asset
- Willing to expand role and obtain licensing would be considered an asset
- Excellent communication and problem-solving skills
- Strong administrative skills and attention to detail
- Proficient with Microsoft Office products
- Ability to prioritize tasks involving clients’ accounts, inquiries, and office operations
- Ability to work independently, as well as in a team setting
- Highly organized with strong organizational and time-management skills
- Excellent telephone etiquette
- Ability to follow company policies

Job Information
- Reporting to an Investment Advisor
- Monday – Friday, 8:30AM – 4:30PM in the office
