Legal Services is hiring a Branch Clerical Assistant to provide integral support in the Office of the City Solicitor. Our branch consists of 120 employees who deliver a wide range of legal, insurance and corporate security functions across 73 lines of business.

Reporting to the Administrative Assistant, this role is essential to maintaining efficient branch-wide operations. With an emphasis on the City of Edmonton’s Cultural Commitments of Safe, Helpful, Accountable, Integrated and Excellent, you will:

  • Be responsible for the branch billing and invoicing (including collecting and maintaining accurate records of valuable Branch financial data)
  • Research discrepancies and update accounts with accurate information (including Branch credit card payments)
  • Manage inventory of office assets including computers, laptops, building access cards and cell phones
  • Act as the Parking Coordinator through maintenance of records
  • Provide support on administrative matters through knowledge of Branch and City policies and procedures
  • Research products, services and processes to enhance and modernize office-wide efficiencies
  • Manage and maintain branch calendars, distribution lists, and intranet site
  • Coordinate furniture/equipment maintenance and repairs to meet safety requirements
  • Problem solve preliminary technical challenges
  • Coordinate and support meeting and event planning logistics
  • Liaise with Finance and IT representatives, and assist other areas of the branch as required
  • Provide additional support to the office as required
Qualifications :
  • Completion of Grade 12 including business subjects related to word and information processing or completion of a related certificate program from an approved business school/college
  • Minimum 2 years diversified word and information processing experience
  • Demonstrated proficiency with computer programs such as Google, SAP and Adobe Acrobat (experience with SAP Ariba is an asset)
  • Experience in a legal setting is an asset
  • Strong client support, communication and interpersonal skills
  • Established problem solving and research abilities
  • Demonstrated organizational skills with an ability to work in a fast-paced environment, including receiving and prioritizing inquiries from multiple sources
  • Experience with calendar management, office supply coordination and data entry
  • Knowledge of City of Edmonton structures, processes and procedures are considered assets

Up to 1 permanent full-time position

Hours of Work: 33.75 hours, Monday to Friday. The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.

Salary: $23.664 - $29.385 (Hourly); $41,690.050 - $51,769.020 (Annually)
