The opportunity:


Reporting to the Associate Vice-President Operations, the Associate Manager, Operations Relations is responsible for planning and assisting in the development, marketing, and distribution of operational communications.


The incumbent will support the development, communication, and maintenance of collateral materials and messaging relating to all operations. This includes client applications, internal policy update(s), newsletters, and other products. The role will be responsible for coordinating with Learning and Development, Forms Committee, and Operations Leadership to develop and deliver consistent and accurate communications through all channels.


The incumbent will also assist the team in maintaining, reviewing, and recommending communication needs, in addition to maintaining a Forms Library and database of all collateral. Additionally, this role will be responsible for developing and maintaining operations intranet sites (for all business verticals).

Key responsibilities include:

  • Communications
    • Coordinating with Leadership in the creation of messaging, which will include formatting and proofing communications and determining the distribution method and approach.
    • Building, managing, and distributing operational newsletter to teams, leaders, and executives.
    • Assisting in the development of presentations.
    • Documenting processes and procedures and presenting progress reports to leadership.
    • Creating a communication strategy and timelines for operational updates.
    • Engaging with advisor teams on gathering, summarizing, and reporting on feedback on communications, forms, and procedures; including identifying and communicating training needs to Learning and Development.
    • Reporting on communication plan, progress, and results.
    • Coordinating the review of policies and procedures within operations for all business verticals and between internal departments including but not limited to Compliance, Legal, and Product and Platforms.
    • Working with leadership and partners to review, revise and create policy and procedures for Operations.
    • Attending/documenting Forms Committee meetings and coordination of applicable action items.
  • Leadership
    • Being responsible for working collaboratively with team members to engage in team-building exercises, planning sessions, and workshops aimed at identifying gaps, solutions, and collaboration opportunities.
    • Being accountable for Operations in the delivery of exceptional service that builds trust through responsiveness, accuracy, consistency, and expertise at a high level of efficiency.
    • Communicating opportunities for coaching and development of peers within operations.
    • Being responsible for collaborating with leadership to define communication policies, deliverables, timelines and managing to these deliverables.
  • Performing other duties as assigned.

The ideal candidate will possess:

  • An undergraduate degree, or equivalent combination of finance, marketing, and/or communications industry experience.
  • An educational background in organizational leadership, business, marketing, learning and development, and/or finance or a related discipline is a strong asset.
  • 1- 2 years experience in Operations (preferably in finance or investment field); Management is an asset.
  • 2 + years' experience in Marketing and/or Communications is required (please provide written sample(s) of your work).
  • Strong written and verbal communication skills, including presentation and discussion facilitation skills.
  • Advanced proficiency with the Microsoft Office suite (Word/Excel/PowerPoint/Outlook) and business administration software.
  • Previous experience with survey tools and other business administration software (i.e. survey monkey, Big Mailer, and reporting tools) are an asset.
  • Excellent organizational skills, with an ability to organize complex information in a comprehensive and clear manner including digital file storage, database management and intranet site management.
  • Exceptional interpersonal skills and previous experience in client services role is an asset.
  • An ability to adapt to change, including the ability to respond quickly and reliably to changing priorities and tight deadlines.
  • An understanding of the investment management industry, business practices, and operations with in-depth knowledge investment data management, reconciliation, compliance, risk, and performance measurement is an asset.
  • A proven ability to lead, guide, and motivate groups of people to deliver results is an asset.
  • Problem-diagnosis skills with the ability to create and present solutions.
  • An ability to multitask with strict time constraints with the ability to deal with numerous activities with varying degrees of priority.
  • A demonstrated ability to independently prioritize and accomplish tasks with minimal supervision.
