Full Description

To be considered for this position, applicants must possess the following minimum qualifications:

  • Post-secondary degree or diploma in Administration or related field;
  • Minimum 3 years of office administrative experience;
  • Proficient in Microsoft Office;
  • Excellent typing and computer skills;
  • Excellent customer service skills;
  • Conflict resolution skills, ability to deal with difficult customers;
  • Demonstrated interpersonal and communication skills;
  • Experience on a switchboard would be an asset;
  • Experience working in a municipal election would be an asset;
  • Business Licensing and Lottery Licensing experience would be an asset.

Duties and Responsibilities:

  • Provides general secretarial and clerical services in the Clerk’s Department including but not limited to the following:

a) prepares correspondence, forms, minutes, agreements, and agendas for Council’s Committees and Boards,
b) responds to general inquiries, both over the telephone and at the customer service counter,
c) corresponds with the City Insurance Adjuster and Broker, processes and submits pothole claims, tracks under-deductible insurance claims, and deals with third party insurers,
d) processes and distributes outgoing mail,
e) responsible for annual vehicle and radio licensing,
f) receives, processes, circulates, and issues Business licenses and responds to general business license inquires,
g) receives, processes, circulates, and issues Liquor Licenses and responds to general liquor license inquires,
h) prepares newspaper ads, correspondence, etc.,
i) maintains and updates information on the City of Woodstock website,
j) creates and maintains forms on the City website, including online payments.

2. Provides administrative support for the Lottery Licensing Program including but not limited to:
a) issuing lottery licenses, in accordance with the Gaming Control Act,
b) responding to inquiries both over the telephone and at the counter,
c) works with members of organizations to ensure that they comply with the lottery rules and regulations and the AGCO Lottery Licensing Manual.

3. A key member of the City’s municipal election team by assisting with the following:
a) issuing and receiving nomination forms,
b) coordinating the hiring of election personnel,
c) booking voting locations,
d) processing election related correspondence,
e) responding to voter inquiries,
f) supervising roving polls.

4. Acts as relief for the Switchboard Operator and Clerk’s Services Administrative Assistant.
5. Assists in training other staff members in the Clerk’s Department.
6. Is appointed Deputy Division Registrar of deaths by the Registrar General and may register death certificates in accordance with the Vital Statistics Act.
7. Is appointed Deputy Issuer of Marriage Licences by the Registrar General and may issue Marriage Licences in accordance with the Marriage Act.
8. Performs other duties as assigned from time to time.

Salary rate is $24.60-$28.92 per hour as per Schedule "A" of the collective agreement.
