Main Purpose & Function
The Office Support Clerk III is primarily responsible for day-to-day clerical duties involved with the Hansen Work/Asset Management system, and for dealing with a variety of requests and enquiries regarding traffic signals, street lights, and other branch operations.


The regular work schedule for this position is 7:00 AM to 3:30 PM, Monday to Friday. This position will be based out of National Works Yard.


Specific Duties & Responsibilities

The Office Support Clerk III will primarily be responsible for day-to-day clerical duties involved with the Hansen Work/Asset Management system such as: creating, updating and closing Hansen work orders. This position will also perform a variety of duties including data entry using systems such as Hansen, SAP, VanMap, MS Office, VanDocs, and Lagan.


The Office Support Clerk III will create spreadsheets, run reports, verify data and will deal with requests for work and information regarding branch operations including: street lighting and traffic signals. This position may dispatch work to Streets, Traffic & Electrical crews, and respond to emergency calls for field crews. Also may perform a variety of other duties related to the work of the branch as required.


Qualifications

Education and Experience:

  • Completion of Grade 12 supplemented by office administration and/or business courses and sound related experience or equivalent combination of training and experience.
  • Experience with administrative tasks in Engineering Operations is preferred.
  • Experience processing a large volume of work with sustained accuracy and speed while handling considerable interruptions.

Knowledge, Skills and Abilities:

  • Sound knowledge of branch operations, policies, and procedures.
  • Thorough knowledge of business English, grammar, spelling, punctuation and arithmetic.
  • Proficiency in software programs including SAP, Hansen, Microsoft Office (Outlook, Word, Excel), VanMap, VanDocs and Lagan.
  • Accomplished high volume data entry (including speed and proficiency, including numerically).
  • Ability to work independently as well as effectively within a team setting.
  • Problem solving skills and excellent interpersonal and communication skills are essential.
  • Ability to organize effectively, pay attention to detail and prioritize work to meet deadlines.
  • Ability to provide accurate information, in a tactful manner, to the public and internal stakeholders.
