As an Administrative Assistant, you will provide senior administrative support to the Deputy Chief as well as the Superintendent. This position is the first point of contact in the Office of the chief. Primary duties include:
- Provide advanced administrative support through documenting Executive and other meetings and following up with senior management on initiatives that are aligned with organization project and goals.
- Act a contact and liaison to internal and external stakeholders, representing executives, The Office of the chief and the Calgary Police Service through in person and written communications such as preparing documents, presentations and correspondence.
- Coordinate and manage scheduling and prioritizing the needs of the Executive.
- Maintain organization charts and distribution lists and oversee the coordination of office moves.
- Coordinate the Executive's schedule and prioritize correspondence ensuring all necessary documents are provided to the Deputy Chiefs and Superintendents for daily and leadership meetings.
- Receive and prioritize issues and requests directed to the Office of the Chief and forward to appropriate staff or leader for resolution.
- Coordinate meetings, prepare and distribute agendas, record and distribute meeting minutes and monitor and action items to ensure completion.
Qualifications

High School diploma or equivalency (e.g. G.E.D.) plus job-related course work (for example: Business Administration, Communication, or Customer Service).

A minimum of 5 years of experience in progressively more senior administrative positions.

Intermediate proficiency in Microsoft Office (Word, Excel and Outlook) is required.

Previous experience in a police or judicial related environment would be an asset.

Success in the position requires strong attention to detail, effective and pro-active problem solving skills, self-motivation and the ability to prioritize a high volume of work in a fast paced environment. A strong team player with the ability to build collaborative working relationships.

Days of Work: This position works a 5 day
work week with 1 day off in a 3 week cycle.
Hours of work: Standard 35 hour work week
