SUMMARY OF DUTIES

Reporting to the Superintendent, Facility Operations & Maintenance, maintain inventory of various COVID-related supplies (including, but not limited to, personal protective equipment, vaccination clinic supplies, janitorial supplies, etc.) with performing functions such as monitoring inventory levels, ordering/replenishing stock levels as required, receiving shipments, conducting inventory counts, preparing orders for distribution and completing general administrative functions associated with the daily operations of the supply warehouse.

GENERAL DUTIES

Maintain COVID inventory as per Emergency Operations Centre (EOC) direction.

Receive, process and prepare orders for COVID related supplies from internal programs and community partners daily.

Answer questions or routine inquiries regarding products and availability.

Forecast and maintain inventory based on historical data, existing levels, supplier availability, delivery times, and warehouse availability.

Replenish inventory as required following proper purchasing guidelines.

Confirm quantities of received product and input into appropriate inventory management software; notify supplier of any discrepancies.

Notify relevant partners of any delays receiving orders or supply chain shortages.

Monitor existing inventory for products approaching expiry dates and process/record expired product as required.

Reconcile physical inventory counts and electronic inventory counts on routine basis, reporting discrepancies.

Input inventory count into electronic database template on set frequency (i.e. weekly).

Organize orders on daily basis for delivery driver, as well as arrange pick-up from community partners.

Assists with preparing data for reporting purposes regarding distribution, wastage and client usage as requested.

Operates equipment and vehicles such as fork lift/tow motor, van and pickup truck.

Must be able to work in cooperation with other departments in a shared space.

Performs other duties as assigned which are directly related to the major responsibilities of the job.

Works in accordance with the provisions of applicable Health and Safety legislation and all City of Hamilton corporate and departmental policies and procedures related to occupational Health and Safety.

QUALIFICATIONS

  • Demonstrated experience related to the duties above normally acquired through a combination of education and relevant work experience.
  • Experience in a computerized environment. Demonstrated knowledge of Microsoft Office (Word, Excel, Outlook) and Microsoft Windows environment.
  • Experience with inventory management software and ARCHIBUS software considered an asset.
  • Good interpersonal communication skills.
  • Good organizational skills.
  • Ability to multi-task numerous activities/responsibilities at once.
  • Must be physically capable of lifting up to 50lbs.
  • Must be able to work in a warehouse environment.
  • Current Forklift Operator Certification that meets the standards laid out by the Canadian Standards Association (CSA) and the Ontario Ministry of Labour.
