Office Assistant II (PT/Permanent)

Are you a customer service aficionado that has an eagle eye for detail and teamwork? Are you looking for a position that doesn’t require working weekends and evenings? Based on a 20-hour work week of Monday-Friday 10am-2pm, this part time permanent role provides the freedom of having the mornings and later afternoons available and open to you!

Reporting to the Finance Supervisor – Financial Reporting, the OA II performs clerical, cashier, and customer service duties in the finance department. This position will provide back-up to the Finance Clerks in the Utilities, Taxation, Accounts Receivable and Accounts Payable areas when needed. Work is reviewed primarily for accuracy and completeness.

  • Cashier/receptionist:
    • Unlock city hall front entrance in the morning and secure the entrance in the evening, access, and secure Finance vault;
    • Greet customers in person or on the telephone, and by email answer or refer inquiries;
    • Open and distribute incoming mail and faxes to appropriate mail slot;
    • Receive payment in the form of cash, cheques, debit card, credit card, and telephone miscellaneous banking, input and generate systems receipt, and print a report listing the total daily receipts;
    • Maintain the cash receipts system by setting up new cash receipts codes;
    • Maintain an accurate and up to-date filing system;
    • Prepare City of Wetaskiwin taxi, issue dog/cat licenses, and business licenses;
    • Prepare tax searches and prepare tax certificates in a timely manner for the review of the appropriate Finance Clerk;
    • Download daily online bank payments and reconcile to bank deposit/entry;
    • Sign up customers on pre-authorized payment plans for utilities and taxes;
    • Accept applications for utility services and account connections/disconnections; and
    • Daily deposit cheque/ cash deposit to the City’s affiliated bank(s).
  • Provide backup to Finance Clerks in the areas of Taxation, Utilities, Accounts Payable, and Accounts Receivable.
  • Any other related reports/ work as needed by the management.

Education and Work Experience

  • First year Accounting Business Diploma or Certificate would be considered an asset
  • Experienced in cashiering and processing payments and entering deposits
  • Experienced in invoicing and completing customer accounts transactions

Knowledge Skills and Abilities

  • Knowledge and experience with basic accounting principles.
  • Superior customer service skills
  • Cash receipting experience
  • Advanced office skills and able to manage multiple priorities.
  • High levels of customer service and ability to communicate with the public and answer inquiries and communicate with other City departments
  • Knowledge of Finance software – Great Plains, Diamond
  • Knowledge of A/R, A/P, Invoicing is considered an asset

COVID-19 Requirement

Successful candidates will need to be double vaccinated or provide a negative rapid COVID19 test result. The City is providing testing kits at this time, however this is based on supply. If testing kits cannot be procured as long as required, employee’s will be responsible to get rapid tested on their own time and at their own expense.
