Reporting to the Director, Financial Services, the Administration Officer (Officer) provides support to the Financial Services team by planning, organizing, implementing administrative systems. The Officer handles administrative tasks like maintaining employee records, answering telephone calls, scheduling meetings, preparing reports and filing documents. The incumbent may also be responsible for managing inventory, maintaining company records, handling budget and office reporting, invoicing and providing customer service.

The Administration Officer will oversee and co-ordinate office administrative procedures and review, evaluate and implement new procedures. The Officer will establish work priorities, delegate work to office support staff and ensure deadlines are met and procedures are followed. This position maintains the divisions leave and attendance, casual staffing actions, timesheets, overtime request and other sensitive personnel documentation. Other responsibilities include: monitoring and maintaining office equipment and inventory supplies and ordering replacement supplies as needed; provide support to the finance team on logistics for events, meetings and workshops to ensure they are properly organized; receiving, reviewing, verifying and processing all correspondence, records management, invoices and other supporting documentation for the division; support with travel arrangements as necessary; preparing correspondence, documentation or presentation materials and the Officer will for the processing of human resource and financial documentation that may be confidential and private in nature.

The knowledge, skills, and abilities required for this job are usually obtained through a high school diploma or equivalent, plus two (2) years of relevant experience in an administrative role. Experience with office management software like Microsoft Office (MS) (MS Excel and MS Word, specifically) is also required for this position.

The Official Languages of Nunavut are Inuktut, English and French. Applicants may submit their resume in any of the official languages of Nunavut. Fluency in more than one of Nunavut’s official languages would be considered an asset. Knowledge of Inuit communities, culture, land, Inuit Qaujimajatuqangit, Inuktut and experience working in a northern cross-cultural environment are also considered assets.
