(7 month contract)

HIRING SALARY RANGE: $55,079.00 – $61,964.00 PER ANNUM
MAXIMUM OF SALARY RANGE: $68,849.00 PER ANNUM

We are looking for a driven, hardworking and self-motivated candidate who will provide administrative support to the high functioning Talent Acquisition team. Reporting to the Senior Manager, Talent Acquisition and Total Compensation, you will provide support on all facets on the recruitment and selection process. From preparing job postings, scheduling and confirming interviews, completing pre-employment verifications, processing new hire paperwork and drafting offers of employment are some of the administrative duties to support the Talent Acquisition Team.

KEY RESPONSIBILTIES:

OPERATIONAL ACCOUNTABILITY

  • Provide administrative support to a sectional or divisional team of professionals; including preparation, review, processing and distribution of correspondence, letters and reports.
  • Provide administrative assistance in support of business initiatives, programs, processes and projects.
  • Develop and implement new tools and methods for the continual improvement and efficiency of practices and processes.
  • Maintain recruitment files and confidential records to ensure corporate compliance.
  • Monitor, maintain and processes sectional financial, and budgetary records, reports and transactions.


LOGISTICAL SUPPORT

  • Ensure all correspondence and scheduling requests are prioritized and urgent matters and conflicts are addressed.
  • Book and arrange meetings, event attendance, resources and amenities.


CUSTOMER SERVICE

  • Prioritize requests, direct calls and enquiries to the appropriate level for resolution.
  • Responsible for answering 311 calls for talent related inquiries as well as the Talent Acquisition inbox.
  • Coordinate objectives by building relationships with cross-functional departments, management and external stakeholders.
  • Provide internal and external customer service by processing and responding to a variety of inquiries and service requests; while adhering to corporate practices and standards.


COMMUNICATION AND REPORTING

  • Research and assist with the preparation of policies, procedures and reports.
  • Monitor and update data entry/database and web based records to support time sensitive reporting.


CONFIDENTIALITY

  • Maintain confidentiality based on the requirement to access, review, maintain and distribute sensitive sectional or divisional and organizational communication, materials and records.
  • Provide documentation support for disciplinary, grievance and performance matters.

SELECTION CRITERIA:
  • Post-secondary certificate or diploma in Human Resource Management or equivalent in related field.
  • One to two years experience providing administrative support or working in a HR/Recruitment environment.
  • Knowledge of Municipal, Regional, Provincial and Federal Governments, applicable Legislations and Collective Agreements.
  • Analytical skills for complex problem solving.
  • Advanced technical skills and proficiency in Microsoft Office software, PeopleSoft HRMS/Financials, Versatile, ATS.
  • Demonstrated attention to detail with a high degree of accuracy and ability to multitask.
  • Prepared to respond to a fast-paced changing environment requiring flexibility with respect to working hours.
