Join the 2021 Edmonton Elections team! This unique role is perfect for the individual who enjoys contributing to an impactful city-wide project, and is a confident, independent decision-maker, and able to work in a high-pace work environment. The ideal candidate must be able to start on June 28, 2021.
From June to October, you will support the Elections Project Lead to plan, execute, implement and oversee strategies for managing the Special Ballot process for Edmonton Elections. In this role you will:
  • Support and assist with mock trial events to review Special Ballot processes and procedures
  • Manage the special ballot registration process (online, phone, email)
  • Process and verify incoming Special Ballot requests using an online registration system
  • Produce, package and distribute outgoing Special Ballot packages
  • Process, track and securely store incoming Special Ballots
  • Count Special Ballots and follow specific accounting procedures
  • Liaise and support institutions with Modified Special Ballot process options
You will be responsible for ensuring the accuracy of information throughout the Special Ballot process and ensuring ballots are counted properly. You will serve as the first point of contact for problem solving and logistical support for Special Ballots.
The ideal candidate will be process driven and be able to adhere to legislative requirements while managing competing priorities. In addition, this position involves supervising a Special Ballot Assistant and support staff as needed to manage the complexities of the work.

Qualifications :
  • Grade 12 or completion of Business or Office Administration certificate program from an approved business school/college
  • 5 years of progressively responsible and diversified office experience managing a registration process with exceptional accuracy including a minimum of 2 years supervisory experience
  • Experience working at an Election would be an asset
  • Demonstrated ability to to supervise the work of an administrative team
  • Strong leadership skills with the ability to collaborate and develop strong working relationships
  • Excellent interpersonal and customer service skills and ability to work with a wide range of demographics
  • Ability to make independent decisions in accordance with established policies and procedures
  • Ability to handle work that is high volume with short timelines where priorities change quickly
  • Strong time management skills with the ability to achieve important project milestones
  • Demonstrated issues management and conflict resolution skills with the ability to handle difficult people or challenging situations on a daily basis
  • Must be able to work independently and be comfortable driving alone to various locations across the city on a daily basis
  • Experience writing clear, concise reports and documenting work processes and procedures
  • Comfortable working in a hybrid workplace (remote and onsite). Working conditions will follow Government of Alberta Health recommendations. Must have access to consistent high speed internet and the ability to work remotely.
  • A valid Alberta Class 5 Driver’s Licence (or provincial equivalent). Must obtain business auto insurance for personal vehicle use on City Business and the ability to qualify for a City Driver's permit is an asset
  • The successful candidate will be required to provide their own vehicle for City use and where appropriate, may be reimbursed according to City policy; this may require the successful applicant to obtain auto business use insurance

Up to one temporary, full-time position for up to 6 months

Hours of Work: 40 hours per week, Monday - Friday. There may be longer working hours on Election Day and the days leading up to Election Day. During the months of June - October, vacation time or time off requests will be restricted in order to prepare for the election. During the election year (2021), any time worked in excess of the normal working hours will be compensated with time off in lieu. The time off in lieu will accumulate at normal union rate, as per the Collective Agreement. However, all hours worked on the Election Day will be paid out to Election Team staff at the appropriate rates.

Salary: $30.482 - $38.287 (Hourly).
