Full Description
The Southeast Wellness Lodge is seeking a highly motivated individual that can communicate with staff and clientele in a fast-paced environment with a high level of professionalism. The Client Services Representative will primarily be the main point of contact for clientele & guests at the Southeast Wellness Lodge. The Guest Services Representative’s main responsibilities will be to manage the front desk of the facility, greet clientele & guests, keep updated room inventory & room occupancy, answer phone calls, perform guest check-ins & check-outs, distribute room keys, and address any of the guests’ questions or concerns during their stay at the Southeast Wellness Lodge.
Duties and Responsibilities
- Greet and welcome all clients in a professional and courteous manner upon arrival.
- keep updated room inventory & room occupancy.
- Post the daily events and workshop sessions at the front desk; escort guests to their designated boardroom.
- Answer and coordinate all client’s requests in a prompt manner.
- Ensure all welcome packages are updated and in all guest rooms prior to check-ins.
- Ensure reception area is tidy and presentable, with all necessary stationery and marketing materials (i.e., forms, brochures, facility information package, etc.)
- Attends to client’s requests, notifying appropriate personnel for type of requests being made by the client(s).
- Register clients by collecting all necessary information.
- Performs check-ins & check-outs for clients upon arrival and departure of the facility.
- Assist on arrival of guest and accompany to designated room.
- Coordinates and provides all necessary information to staff and clients (i.e., arrivals, departures, medical appointments, etc.)
- Communicate with all appropriate personnel using a two-way communication radio.
- Liaise with Housekeeping staff to ensure all rooms are clean, tidy, and fully furnished to accommodate clients needs upon arrival to the facility.
- Sort through all vendor deliveries, ensuring everything is accounted for.
- Maintains organization’s stability and reputation by complying with Southeast Wellness Lodge’s policies, procedures, and legal requirements.
- Record and document information which is required for review, reporting, and quality assurance purposes.
- Documenting and communicating information with immediate supervisor.
- Participate in internal/external meetings as required and identified by immediate supervisor.
- Work effectively as a team member and is confident in all aspects.
- Always upholds client confidentiality within and outside the facility.
- Immediately log incident reports upon incidents occurring and report to site management.
- Undertake other tasks/duties as assigned.
Qualifications
- Prior experience as front desk representative, receptionist, or a similar position.
- Familiarity with office equipment (i.e., fax, printer, phone, etc.)
- Proficient communicating in English; partial or fluent knowledge of aboriginal language would be considered an asset (Cree, Ojibway, etc.)
- Vast knowledge on Microsoft operating systems (Word, Excel, Outlook, etc.)
- Strong communication and people skills.
- Well organized and able to multi-task.
- Problem solving skills; able to be resourceful and proactive when issues arise.
- Customer service oriented.
- Professional attitude and appearance.
- Strong phone etiquette & communication skills.
Working Conditions
- 8 – 40 hours per week.
- Must have an open schedule beyond the standard hours of work; may be required to work evening and weekend shifts.
- Exposure to indoor office florescent lights.
- Ability to work effectively as a team member as well as individually.
- May be required to sit stationary for prolonged periods.
Conditions of Employment
- Must produce a satisfactory Criminal Record Check (including Vulnerable Sector Search).
- Must produce a satisfactory Child Abuse Registry Check.
- Must produce a satisfactory Adult Abuse Registry Check.
- Must be vaccinated for Covid-19
