This is a casual opportunity for up to four (4) months

The City of Regina has an opportunity for an experienced, polished professional who is genuinely passionate about their work and who understands the importance of their role; a senior role within the organization. The right candidate will thrive in an energetic, supportive and performance driven team environment, performing a wide range of complex senior administrative support related tasks, while working independently with little or no supervision.

The Administrative Associate will provide executive-level support to the director and managers (leadership team) of the Sustainable Infrastructure Department. This position will perform activities such as the following:

Provide high level calendar management, emails and coordination of meetings for the director and managers, tracking of business expenditures, departmental and branch performance data and monitor & action service responses
Conserve, protect and manage the leadership team’s time by researching, reading, preparing and routing correspondence in a timely, professional and effective manner with confidentiality and integrity.
Provide all necessary information for meetings, including preparation of relevant documentation, coordinating/creating agenda items and ensuring your director has the time created in director’s and manager’s calendar for review and preparation.
Make decisions with confidence, anticipating issues and initiating appropriate action to ensure the most effective use of the leadership team’s time.
Use expert level communication skills with confidence, while drafting correspondence/ reports. This can include but it not limited to proofreading high volume of documents for grammar, punctuation and readability.
Handle politically sensitive information and preparing minutes, correspondence or Council and/or committee reports.
Manage multiple tasks and changing priorities and deadlines of a highly sensitive nature in a fast-paced environment, with limited direction, making decisions as required on behalf of your director.
Anticipate the needs of the leadership team and ensure they have all of the time, resources and documentation to fulfill their business obligations.
Provide direction and delegate to ensure goals and objectives of department are achieved.
Provide department support for task such as but not limited to purchasing supplies, directing customer inquiries, and arranging for training
Coordinate information transfers, communication and maintain effective professional relationships with Executive Director’s office, Divisional Business Support, Clerks office and other corporate areas.
Provide support to project teams and other individuals in the departments including task such as scheduling meetings and taking minutes.

Your Diploma/Certificate in Business Administration, Office Administration or Public Administration plus five years or more of progressively responsible senior level administrative support experience will prepare you with the skills and competencies necessary to be successful in this role.
