Full Description

The Campus Registrar will focus on all activities relating to the admission, registration, and retention of students. The allocation of students to the right sections and classrooms will be a critical responsibility of this position. The program advisors who work closely with students regarding change in timetable, at-risk situation and appeals among other things, also work closely with the registrar’s office.
The Campus Registrar will have special responsibility for effective implementation of academic policies and procedures relating to the admissions process, processing transfer credits, and management of student records. The Campus Registrar should be able to create a customer service-oriented environment that will enhance students’ satisfaction and success.
II. Duties

  • Works closely with the National Registrar to get forecast enrollment, assignment of class sections and rooms.
  • Ensures integrity of the student academic records including active students, inactive students, graduates, dropouts and dismissed students.
  • Guarantees that admission files are completed in a timely manner and cases involving transfer credits are coordinated properly engaging the academic administrators.
  • Monitors and ensures consistent high-quality registration services are compliant with PEQAB policies and other relevant accreditation agencies; identifies and reports on discrepancies and evaluates solutions to ensure the desired outcomes are achieved.
  • Serves as the university official responsible for audit, and verification of student records.
  • Ensures that all student academic activity is accurately documented and follows up with the Academic Divisions to ensure compliance with University deadlines and requirements.
  • Monitors that the student requests through the ticket system are serviced promptly.
  • Works closely with campus leadership to strategically plan and develop the campus as well as help them prepare the annual campus budget.
  • Leads or participates in the decision-making process for various policies, procedures, partnerships, and articulations.
  • Forecast attrition, leave of absence, graduation, and enrollment growth.
  • Prepares monthly reports showing the latest status of active students, attrition, and various categories of inactive students. Works closely with Program Advisors to convert student status from inactive to active.
  • Works with academic administrators and the marketing and recruitment teams to assist with the enrolment of new and returning students.
  • Develops analytics to help drive critical institutional outcomes and meet enrolment and strategic objectives through the process of improvement metrics.
  • Establishes annual plans regarding the development of various enrolment and statistical reports, as well as, reports for provincial and federal authorities.
  • Plans and leads the organization and execution of the Convocation Ceremonies each year.
  • Manages, and monitors the annual budget for the Records and Registration departments.
  • Superior analytical and strategic thinking skills and operational planning ability to deliver on departmental and Campus objectives.
  • Extensive knowledge of the post-secondary policy/procedure development processes and of related operating requirements to write policies, procedures, reports and proposals.
  • Proven expertise and demonstrated ability to work cohesively with a wide range of constituents, faculty, staff, students, government officials and other educational institutions.
  • Must enjoy data analysis, working with software especially enrollment management software.
  • Other related duties as assigned.
III. POSITION PROFILE
A. Education and Experience
  • Master’s degree preferred; Bachelor’s degree required
  • 5 to 10 years of experience in a similar role
